Overview
The Senior Document Controller is responsible for the implementation of governance and management of records within the Asset and Network Planning Directorate. This includes maintaining and organising policies processes procedures and other data related to the management of highways assets. The role also serves as the initial point of contact for Freedom of Information Act (FOIA) requests evaluating and drafting initial responses and coordinating technical input from relevant parties.
Your role
You will play a key role in coordinating managing and maintaining documentation records with the Asset & Network Planning directorate. Responsibilities include developing a structure for record keeping and governing the change process for updates and revisions. The role will involve working directly with CPS Asset & Network Planning teams to ensure effective and consistent record of information.
Responsibilities include
Records Management
- Maintain and organise records including policies processes procedures and other data related to highways asset management.
- Ensure records are accurate up-to-date and easily accessible.
- Implement and maintain records management systems and procedures.
Governance
- Develop and enforce records management policies and procedures.
- Ensure compliance with legal and regulatory requirements related to records management.
- Conduct regular audits to ensure records are managed in accordance with established policies.
FOIA Requests
- Act as the first point of contact for FOIA requests.
- Evaluate FOIA requests and draft initial responses outlining key requirements and processes.
- Collaborate with asset managers to obtain technical input and finalise responses.
Data Integrity
- Ensure the integrity and confidentiality of records.
- Implement measures to protect records from unauthorised access or damage.
- Monitor and report on records management activities and performance.
Training and Support
- Provide training and support to staff on good records management practices and procedures.
About you
- Bachelors degree in Information Management Library Science or a related field.
- Proven experience in records management preferably within a similar industry.
- Strong understanding of records management principles and practices.
- Experience of using SharePoint.
- Knowledge of legal and regulatory requirements related to records management.
- Excellent written and verbal communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Strong problem-solving and analytical skills.
- Full driving licence.
