Job Summary
Responsible for receiving inspecting and distributing all incoming merchandise supplies equipment and postal mail in a timely and accurate manner.
Key Responsibilities:
Receiving & Inspection
- Coordinates and manages the movement of delivery trucks by assisting with the assignment of loading docks and providing clear directions to drivers.
- Ensures appropriate equipment is available to safely unload deliveries (e.g. pallets flatbed carts pallet jacks).
- Conducts physical inspections and counts of incoming merchandise supplies and equipment to verify quantities and specifications against packing slips and bills of lading.
- Identifies and promptly reports discrepancies including shortages or damaged items to the supervisor or manager.
- Notifies Security immediately if unauthorized individuals enter shipping or receiving areas.
- Signs packing slips and bills of lading upon receipt of deliveries.
- Documents any quantity discrepancies by adjusting figures on the bill of lading or packing slip when physical counts do not match received documentation.
- Prioritizes urgent or time-sensitive deliveries (e.g. overnight shipments messenger services perishables) by routing them to designated areas for immediate internal distribution.
Delivery Operations
- Delivers merchandise equipment and mail directly to designated requisitioners.
- Uncrates shipments as necessary and palletizes or stacks items onto appropriate internal delivery carts or trucks.
- Completes missing delivery details on parcel labels including employee name and delivery location.
- Obtains recipient signatures confirming receipt of delivered merchandise and equipment.
- Provides requisitioners with a copy of the packing slip for their records.
- Records deliveries received without a purchase order in the delivery logbook including tracking number sender and recipient information.
- Follows established delivery routes as directed by the supervisor or coordinator.
- Submits original packing slips to the data entry clerk for processing and files signed copies in the appropriate purchase order sequence folders.
- Receives sorts and distributes internal and external mail.
Skills & Additional Duties
- Minimum of two years. High School Diploma or GED preferred.
- Excellent organizational skills.
- Provides backup coverage for staff who are absent on vacation or otherwise unavailable which may include stocking supplies and delivering film or digitized files.
- Maintains accurate and up-to-date departmental records by ensuring all logbooks are organized current and available for tracking or audit purposes.
- Performs other related duties as assigned.
