Job Summary
We are seeking a friendly organized and proactive Administrative Assistant to be the face of our office! This position is ideal for someone who thrives in a fast-paced environment enjoys multitasking and take pride in delivering exceptional customer service.
In this role you will create a welcoming first impression for clients and visitors while supporting day-to-day front desk operations and various other tasks for multiple departments.
Essential Responsibilities:
- Greet clients visitors and employees with professionalism and warmth.
- Answer and direct incoming phone calls and website chat leads/questions promptly.
- Manage and distribute incoming leads to the appropriate Loan Officers.
- Maintain conference room schedules and coordinate reservations.
- Receive organize and distribute mail and deliveries.
- Ensure the front desk area conference rooms and all shared spaced remain clean and organized.
- Assist with various CRM systems.
- Receive all vendors who come in - assist with any questions they have or facilitate them speaking with the correct person in the office.
- Assist with office operations including ordering and stocking supplies.
- Update office displays daily (welcome board rate screens etc.)
- Be a problem solver for issues that fall in your domain.
- Provide support to various departments on special projects.
- Assist with document copying and light administrative support.
