The Council on Recovery is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative operational and strategic support to our executive leadership team. Key Responsibilities:
- Manage complex calendars schedules and meeting logistics for executive leadership ensuring optimal time management and prioritization.
- Coordinate and prepare materials for meetings including agendas presentations and reports.
- Serve as a point of contact between executives and internal/external stakeholders maintaining professionalism and confidentiality.
- Handle correspondence emails and phone inquiries on behalf of executives ensuring timely and appropriate responses.
- Assist with travel arrangements itineraries and expense reporting to support organizational efficiency.
- Support special projects and initiatives as assigned contributing to strategic planning and execution.
- Maintain organized filing systems records and documentation to ensure easy retrieval and compliance.
- Facilitate effective communication across departments and with external partners to promote organizational cohesion.
Skills and Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role preferably within a nonprofit or healthcare organization.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and calendar management tools.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of professionalism attention to detail and problem-solving skills.
- Bachelors degree or equivalent experience preferred.

Qualifications & Experience Requirements
- Minimum of 5 years of executive level administrative experience preferably within nonprofit healthcare or corporate environments.
- Exceptional written and verbal communication skills with a polished professional demeanor.
- Strong organizational time management and multitasking capabilities.
- Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and virtual collaboration tools (Teams Zoom).
- Demonstrated ability to exercise discretion judgment and tact in confidential matters.
- Self-directed adaptable and effective both independently and in collaborative settings.
- Bachelors degree preferred or equivalent combination of education and experience.
