The Executive Assistant to the President serves as the primary administrative and operational support professional to the President ensuring the seamless coordination of executive functions and the effective daily operation of the Office of the President. The EAP plays a critical role in advancing the Presidents priorities by managing schedules preparing executive briefings coordinating communications supporting policy processes and ensuring accountability across the Presidents Cabinet.Key Responsibilities
Executive Calendar & Travel Management
- Manage and maintain the Presidents master calendar with precision and strategic foresight
- Coordinate all travel arrangements including itineraries accommodations and briefing materials
- Ensure all schedule updates are communicated promptly to internal and external stakeholders
- Prepare and deliver aDaily Schedule Folderfor the President each business day
- Prepare comprehensive briefing materials including agendas background information and talking points
- Ensure the President is fully prepared for all meetings engagements and speaking opportunities
- Coordinate across divisions to ensure readiness for all executive engagements
- Attend Executive Cabinet meetings and prepare accurate timely minutes
- Track presidential directives and ensure follow-up with Cabinet members
- Maintain an organizedCabinet Action Trackerto monitor progress and accountability
- Oversee the daily operations of the Office of the President
- Ensure continuous office coverage and a high standard of hospitality and professionalism
- Develop and maintain effective office systems and procedures
- Coordinate with Institutional Effectiveness to ensure timely submission and publication of all Cabinet-approved policies
- Monitor compliance with institutional policy standards and timelines
- Provide regular updates on policy progress and completion
- Monitor communications directed to the Presidents Office and ensure timely routing and response
- Track requests and directives to ensure accountability and follow-through
- Maintain organized systems for communication tracking and reporting
- Collaborate with Advancement Alumni Relations Public Relations Athletics and campus partners
- Support presidential engagement in institutional and community events
- Ensure alignment between presidential priorities and campus activities
- Bachelors degree required; masters degree preferred
- Minimum of 35 years of progressively responsible administrative experience preferably in higher education or executive leadership support
- Exceptional organizational communication and time-management skills
- Demonstrated ability to manage multiple priorities with accuracy and discretion
- Strong writing editing and document preparation skills
- High level of professionalism confidentiality and sound judgment
- Proficiency in Microsoft Office and digital scheduling/communication platforms
- Executive-level professionalism and discretion
- Strategic thinking and proactive problem-solving
- Attention to detail and operational excellence
- Strong interpersonal and relationship management skills
- Ability to function effectively in a fast-paced high-accountability environment
