Job Summary

Position OverviewThis position manages membership certifications and conference registrations for AAEA. The role supports members and works closely with the AAEA team to ensure high-quality professional learning and strong member engagement. This position requires state-wide travel and reports to the Director of Professional ManagementOversee the online membership database and registration systemMaintain accurate professional learning records for membersPrepare membership reports and other requested reportsProcess memberships and send dues invoicesAssist with posting payments as neededTrack dues status and follow up on unpaid invoicesRespond to all membership-related questions and requestsMonitor and manage contact forms within the databaseSet up online registration for events and ensure member accessSupport professional development efforts across the organizationOrder merchandise for constituent group meetings and retreatsConferences and Board MeetingsManage all aspects of conference registrationProvide support to members and staff before and during conferencesAttend conferences to assist with onsite registration and member needsSet up and maintain online conference registrationMonitor registration numbers to ensure proper planning including mealsCoordinate hotel accommodations for members when neededHandle conference changes cancellations and member inquiriesPrepare name badges and coordinate attendee materials or merchandiseAssist in drafting board meeting agendasSupport planning for the Summer Conference including participant and exhibitor registration assigning breakout sessions presiders and ambassadors and creating detailed schedules with presenters rooms and AV needsMember DirectoryCollect updated information from school districts and education agenciesSubmit information for directory productionUpdate the directory weekly to ensure accuracyDistribute directories to current membersOffice OperationsAssist the Director of Professional Learning with designing professorial development offeringsServe as a point of contact for the membership database and registration systemAssist the front office as neededFile required monthly lobbyist reportsPrepare and assist with renewal formsEnsure school district job postings are current and accurateAssist members with posting job openingsAwards Scholarships and CertificationsProcess scholarship applications and ensure awards are distributedAssist with Administrator of the Year AwardsOrder plaques and ensure sponsor recognition is includedEnsure members receive certification credit through the learning systemMaintain certification records for all constituent groupsTrack certification renewals and updatesNotify members about certification deadlines updates and opportunitiesAssist members with certification status and progressMaintain certification data in the databasePrepare CPE forms surveys and certificates ensuring requirements are metMaintain documentation for audit purposesSend certification documentation to district leadership as requestedAdditional DutiesPerform other duties as assigned by the Director of Professional Learning and the Executive Director
