Job Summary

      Full-time temporary position available on or after May 11 2026for Basic Needs. Appointment will be made for 1 year from date of hirewith the possibility of reappointment and/or becoming permanentbased on budget department needs and job performance.


      This positions responsibilities are carried out under general direction. The incumbent is responsible for providing support within the Coordinated Access Retention and Equity Services (CARES) unit of Student Affairs with significant support to Basic Needs department. The incumbent coordinates Student Success initiatives across campus and external partners focusing on Basic Needs and providing support to Project Rebound Educational Opportunity Program Promise Scholars and the Pregnant and Parenting Student Initiatives overseeing confidential operations budgeting personnel compliance and data assessment within the CARES portfolio. Incumbents in positions at this level often provide program leadership of a strategic nature through program or organizational unit planning activities and the analysis development and evaluation of highly complex programs with broad impact.

    • Job Duties
    • Duties include but are not limited to:
      • Provide administrative and operational support to program coordinators in support of program delivery and departmental objectives.
      • Oversee administrative systems and processes including scheduling tools dashboards record retention practices and standard operating procedures.
      • Coordinate travel purchasing payroll-related transactions position funding changes and use of campus administrative systems to support departmental operations.
      • Support departmental business continuity planning including updates and coordination of continuity related activities.
      • Perform financial analysis budget administration accounting and fund management in support of departmental and program operations.
      • Monitor expenditures resolve discrepancies and maintain accurate audit-ready financial records in accordance with institutional and funding requirements.
      • Oversee purchasing and related fiscal processes to support effective and compliant departmental operations.
      • Administer and support complex programs encompassing a full range of administrative and/or academic functions.
      • Provide comprehensive grant administration support including data analysis budget development narrative preparation and required reporting.
      • Coordinate with the Office of Sponsored Research and Programs and external partners to ensure compliance with grant requirements and timelines.
      • Support the development and administration of memoranda of understanding (MOUs) and partner agreements related to funded programs.
      • Ensure program compliance with applicable regulations and requirements governing funded and nonfunded programs.
      • Serve as a liaison to internal and external agencies and partners related to program and grant activities.
      • Analyze design implement and evaluate administrative and data systems to support organizational unit operations reporting and decision-making.
      • Design and lead departmental assessment and evaluation activities including evaluation planning data collection analysis and reporting.
      • Conduct regular data reviews to support continuous improvement compliance and strategic and operational decision-making.
      • Lead ongoing data tracking documentation reconciliation and quality assurance processes to support institutional legislative and grant reporting.
      • Prepare and submit required programmatic and fiscal reports in coordination with campus partners and external agencies.
      • Coordinate with Institutional Effectiveness & Analytics and other campus partners to ensure data accuracy consistency and timely submission.
      • Advise management on policies and procedures related to operations finance budgets personnel and administrative systems; update unit procedures and provide training as appropriate.
      • Develop research briefs reports and presentations to support planning compliance and reporting needs.
      • May be required to obtain additional training and/or certification as part of professional development based on department and/or campus needs to stay current with industry standards.
      • At the direction of appropriate administrator may provide support to other areas as needed.

    • Minimum Qualifications
    • Education & Experience:A bachelors degree and/or equivalent training and administrative work experience involving study analysis and/or evaluation leading to the development or improvement of administrative policies procedures practices or programs.
    • Preferred Qualifications

      • Three (3) years of related administrative or analytical experience supporting program operations budgeting or fiscal processes.
      • Two (2) years of experience in research evaluation grants budget finance systems or operations including preparation of reports or analyses.
      • Demonstrated experience preparing and reconciling budgets and monitoring expenditures across one or more programs or funding sources.
      • Experience collecting analyzing and reporting data to support program assessment compliance or decision making.
      • Experience supporting grant-funded programs including budget development reporting or coordination with internal or external partners.
      • Experience developing or maintaining administrative procedures tracking tools or reporting systems.
      • Masters degree in Business Administration Public Administration or a related field.
      • Experience working in a CSU or other higher education setting.
    • Knowledge Skills Abilities

      • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles practices and methods.
      • Knowledge of and ability to apply fundamental concepts.
      • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
      • Thorough knowledge of policies procedures and outside regulations pertaining to the applicable program and/or administrative specialty.
      • Working knowledge of operational and fiscal analysis and techniques. Working knowledge of budget policies and procedures.
      • Ability to take initiative and independently plan organize coordinate and perform work in various situations where numerous and diverse demands are involved.
      • Skill in the research development and evaluation of policies and programs including skill in the collection evaluation and interpretation of data to develop sound conclusions and make appropriate recommendations.
      • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
      • Ability to make independent decisions and exercise sound judgment.
      • Ability to train others on new skills and procedures and provide lead work direction.
      • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties including pertinent laws and regulations.
      • Demonstrated expertise in and advanced knowledge of the principles problems and methods of public and business administration and operational and fiscal management.
      • Expertise in administrative survey techniques operations and systems analysis statistical and research methods and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
      • Ability to understand problems from a broad interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
      • Ability to work with representatives from public and private entities and handle potentially sensitive situations.
      • Demonstrated consultative skills in working with internal and external constituent groups.
      • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.

    • Salary Range
    • Anticipated starting salary will be $5797(step 1) per monthplus excellent paid benefits.Future increases including step advancement are subject to contract negotiations. Full range Salary will depend on the qualifications of the successful finalist. Full$5797(step 1) $8445(step 20) per month.
