Job Summary

Qualifications:
Associates Degree in Business Administration Human Resources Education or related field
Bachelors Degree in Business Human Resources Education or related field preferred
35 years of experience in office administration HR support or personnel records management
Experience working with educator licensure or in a school district HR office preferred
Knowledge of North Carolina educator licensure requirements and NCDPI licensure systems preferred
Strong experience with database systems and Microsoft Office or similar software
Nature of Work:
The Licensure Specialist manages and monitors educator licensure for the school district to ensure compliance
with North Carolina Department of Public Instruction (NCDPI) requirements. This position supports
recruitment hiring and retention by guiding employees through the licensure process monitoring renewal
requirements maintaining licensure records and serving as the districts primary liaison with NCDPI regarding
educator credentials.
The Licensure Specialist works collaboratively with Human Resources staff school administrators and
educators to ensure all licensed personnel maintain appropriate credentials required for employment.

Ability to work independently and manage multiple deadlines

Essential Job Functions & Responsibilities:
Coordinate the initial licensure process for newly hired certified employees.
Process and monitor licensure renewals upgrades and additions through the NCDPI licensure system.
Review transcripts and documentation to verify eligibility for licensure or license updates.
Monitor the licensure status of all licensed employees and notify employees and supervisors of
upcoming expirations or deficiencies.
Assist educators with completing requirements for provisional and residency licenses.
Maintain accurate licensure records in district HR systems and state databases.

Ensure all licensed employees meet state and federal compliance requirements.
Generate and maintain reports related to licensure status renewal timelines and compliance monitoring.
Work with HR staff and administrators to ensure appropriate licensure for new hires and staff
assignments.
Serve as the primary contact for employees regarding licensure requirements processes and timelines.
Provide guidance to teachers and administrators regarding licensure pathways testing requirements and
renewal activities.
Assist employees in navigating NCDPI licensure systems and submitting required documentation.
Serve as the district liaison with the North Carolina Department of Public Instruction (NCDPI) regarding
licensure questions and issues.
Monitor updates to state licensure policies regulations and procedures.
Communicate policy updates to HR staff and district administrators.
Assist HR staff during hiring processes to verify licensure eligibility for applicants.
Support recruitment initiatives by advising prospective candidates on licensure pathways.
Collaborate with the Beginning Teacher Program and other district programs that support licensed staff.
Maintain digital licensure records and documentation for all certified personnel.
Prepare reports for district leadership and state reporting as required.
Ensure confidentiality and proper maintenance of employee records.
Support HR initiatives recruitment events and department projects as needed.
Perform other duties as assigned by the Human Resources Director or designee.
Physical Requirements:
This work requires the frequent exertion of up to 10 pounds of force and occasional exertion of up to 25
pounds of force.
Work regularly requires speaking or hearing frequently requires walking and sitting and occasionally
requires standing using hands for manual dexterity or to handle or feel stooping kneeling crouching or
crawling reaching with hands and arms and lifting.
Work requires preparing and analyzing written or computer data; work has no exposure to
environmental conditions; work is generally in a moderately noisy location (e.g. business office light
traffic).
