INSTITUTION DESCRIPTION:

BASIC FUNCTION:
Under general supervision provides administrative support for the Vice President of Business and Finance.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Provides consistent high-quality customer service. Receives incoming visitors and calls determines the nature of the inquiry and courteously directs calls to the appropriate individual within the division or other areas of responsibility.
Maintains the Vice Presidents calendar including scheduling appointments arranging conferences and travel providing reminders and preparing materials for upcoming meetings.
Establishes and maintains administrative files for the Vice Presidents Office.
Coordinates incoming mail pick-ups and outgoing mail drop-offs with the campus Post Office. Receives and distributes mail daily; stamps incoming documents to acknowledge receipt; and ensures proper distribution to staff. Maintains suspense files and control records for all documents requiring responses from the Vice President or staff.
Prepares correspondence reports and other documents from draft through final form. Emphasis is placed on accuracy in formatting spelling punctuation and grammar.
Takes notes and prepares minutes during scheduled staff meetings.
Generates and maintains Microsoft Excel spreadsheets and other records related to special projects or programs.
Prepares requisitions for the Office of the Vice President.
Follows up on assigned tasks and performs other related duties as assigned.
REQUIRED KNOWLEDGE SKILLS AND ABILITIES:
Detailed knowledge of office management procedures including records retention.
Strong keyboarding and spreadsheet application skills required; stenographic skills are desirable.
Proficiency in using personal computers and Microsoft Office products to prepare presentations correspondence and statistical data.
Ability to manage multiple tasks and prioritize effectively.
MINIMUM TRAINING AND EXPERIENCE:
Bachelors degree in Organizational Management Business or a related field preferred.
Extensive background in progressively responsible office management roles.
Minimum of two years of experience providing executive-level administrative support preferred.
Experience in an educational banking or financial institution environment is desirable.
