Job Title:Attendance Improvement Specialist
Reports to:Campus Principal
Dept./Campus:Assigned Campus
Classification:Nonexempt
Primary Purpose:To support student success by improving attendance through direct intervention with students and families and by managing truancy enforcement at the district level.
Qualifications:
Education/Certification
- High school diploma or higher
Special Knowledge/Skills
- Ability to maintain accurate and auditable records.
- Ability to use personal computer and software to develop or maintain spreadsheets and databases and do word processing.
- Effective organizational communication and interpersonal skills.
- Proficient keyboarding and file maintenance skills.
- Knowledge of legal proceedings about filing class C misdemeanor charges.
- Familiarity with Texas Education Code as it pertains to attendance.
Experience
- Clerical Experience Preferred
Major Responsibilities and Duties:
Parent Communication & Notifications
- Ensure families provide current contact information and establish contact when attendance concerns arise.
- Send required notifications regarding compulsory attendance violations truancy consequences and risks of loss of credit or summer school eligibility.
- Follow defined steps and timelines when families do not respond to campus communication.
Attendance Monitoring & Interventions
- Monitor attendance in Skyward and review campus efforts to improve attendance.
- Coordinate and document interventions involving teachers counselors and principals to address truancy.
- Determine when escalation to court action is appropriate.
- Track make-up hours and communicate updates to Assistant Principals.
- Run and process tardy reports regularly coordinating with Assistant Principals for discipline when needed.
Reporting & Daily Operations
- Compile information for daily attendance call-outs.
- Run attendance reports and generate attendance notice letters.
- Support attendance incentive ideas and manage implementation.
- Serve as an active member of the Attendance Committee.
Student Records & Enrollment Management
- Process new student records including transcript requests cumulative folders data entry (TREX) and notifying teachers of incoming grades.
- Handle student information requests (transcripts for colleges NCAA CPS military legal etc.).
- Process student withdrawals send records and notify teachers of withdrawal grades.
- Manage records retention including purging and filing graduate/ex-student records.
Verification & Documentation
- Complete job verifications.
- Process Verification of Enrollment (VOE) and proof of enrollment letters.
Grades & System Management
- Manage grades in Skyward including reports grade changes and reconciling office and gradebook systems.
- Assist teachers with gradebook questions.
- Create and manage Skyward security groups to monitor student progress.
- Stay compliant with state and district policies and regulations related to job functions.
Other
- Follow district safety protocols and emergency procedures.
- Display tolerance necessary for accepting supervision for and criticism of job performance.
- Work in harmony with supervisory faculty and peer personnel.
- Use professional information discreetly and judiciously.
- Support and follow administrative and Board policy.
- Represent the school system to the community in a positive professional way.
- Maintain a sincere friendly attitude toward patrons.
- Perform other duties as assigned.

Mental Demands/Physical Demands/Environmental Factors:
Tools/Equipment Used: Personal computer and peripherals; standard instructional equipment; P.E. teachers: automated external defibrillator (AED)
Posture: Prolonged standing; frequent kneeling/squatting bending/stooping pushing/pulling and twisting
Motion: Frequent walking
Lifting: Regular light lifting and carrying (less than 15 pounds); may lift and move textbooks and classroom equipment
Environment: Work inside may work outside; regular exposure to noise
Mental Demands: Maintain emotional control under stress; work prolonged or irregular hours
