The Role:
The person appointed will be responsible for the provision of a customer-focused and efficient front-line reception service to warmly greet our patients and visitors to our TFP Swindon Satellite Clinic. The successful applicant will be professional articulate be proactive with good communication and IT skills and have a pleasant telephone manner. The role will be part of a small team (1 Receptionist and 1 Fertility Nurse) with daily support provided by the main unit in Oxford.
This role will be part-time working between 22.5 hours per week
Monday Wednesday Friday 08.00-16.00
The Location:
The Swindon Satellite Clinic for TFP Fertility is conveniently located in Swindon with easy access from the nearby M4 motorway and A419 making it well connected for staff and patients travelling from across Wiltshire and surrounding areas. The clinic provides a local setting for consultations monitoring scans and blood tests with treatment procedures carried out at TFP Oxford Fertility. Free on-site parking is available for staff making commuting and attending appointments straightforward.
Key Responsibilities:
As first point of contact to give a professional friendly and efficient front-line reception service to patients staff and visitors who make enquiries in person by telephone and email.
To answer and/or appropriately refer all incoming calls to personnel within the unit.
To provide general information and assistance to patients visitors and staff.
To ensure the reception and waiting room are kept clean and tidy.
Take payments by card over the telephone and issue receipts on their portal.
Raise and process patient prescriptions as required.
Complete consultation lists and extract patient notes when required.
Book patients into the diary system for bloods scans and counselling.
Scanning of medical notes letters test results and other correspondence.
To perform routine office support duties.
To maintain confidentiality at all times and adhere to the HFEA Code of Practice and Guidelines.
A willingness to undertake any appropriate duties deemed by the Administration Manager to be part of the role of the receptionist.
To liaise closely the main clinic to ensure that there is a two-way flow of information with colleagues and a mutual understanding of relevant systems and processes; to contribute to other areas of work within Swindon/Oxford as required.
Qualifications and Experience:
GCSE English Language and Mathematics at grade C or above (or equivalent qualification)
Excellent communications skills (both verbal and written) and the ability to communicate with a wide variety of individuals.
Good knowledge of Microsoft Office particularly Word and Excel.
Aptitude for and interest in learning new computer applications.
Pleasant telephone manner ability to work effectively within a multidisciplinary team empathetic approach to couples with fertility problems. Basic account keeping skills.
Ability to work on own initiative.
Experience of electronic appointment systems
