What this job involves:
This position is responsible for coordination of Reception Services across a campus in addition to general reception duties while reporting to the Facilities Manager. You will provide support and leadership of onsite reception teams while ensuring visitor management systems are up to date and visitors are pre-registered coordinating reception teams to ensure all reception desks have adequate cover especially during peak times. This role contributes to JLLs business objectives by ensuring service excellence across campus coordinating service support such as Technicians and Janitorial for resolution of issues ensuring new processes and standards are implemented across sites in conjunction with Program Manager and maintaining JLLs reputation for excellence in corporate real estate services through seamless reception coordination and team leadership as part of overall Facilities Team.
What your day-to-day will look like:
Perform general reception duties including checking in visitors answering telephone and providing assistance
Provide support and leadership of onsite reception teams while ensuring visitor management systems are up to date and visitors are pre-registered
Coordinate reception teams to ensure all reception desks have adequate cover especially during peak times
Ensure seamless handover to and from security personnel at start and end of shifts while ensuring general condition of reception areas
Ensure service excellence across campus or region while coordinating service support such as Technicians and Janitorial for resolution of issues
Ensure new processes and standards are implemented across sites in conjunction with Program Manager
Coordinate and deliver training to reception teams while providing operational oversight of campus or region
Act as point of escalation for issues while feeding back to Program Manager where required
Ensure compliance with EHS requirements and standards while ensuring visitor needs are met if they require additional support or assistance moving around site
Required Qualifications:
Previous experience working within high-profile corporate environment
Fluency in English and local language with proficient knowledge of Microsoft Office Pack
Very high attention to detail with outstanding customer service skills
Ability and confidence in communicating to customers at all levels both written and verbal
Ability to maintain professionalism at all times and be ambassador of team
Excellent team player with want to go above and beyond for each other
Ability to manage reception area furniture and equipment while making recommendations for improvements
Capability to set up and maintain relationships with local security teams
Preferred Qualifications:
Previous reception supervisory experience
Facilities Management exposure would be beneficial
Experience coordinating reception teams to ensure adequate coverage especially during peak times
Background ensuring seamless handover to and from security personnel at start and end of shifts
Understanding of visitor management systems and pre-registration processes
Experience coordinating service support such as Technicians and Janitorial for resolution of issues
Knowledge of implementing new processes and standards across sites in conjunction with Program Manager
Background coordinating and delivering training to reception teams
