Job Summary
New England Mechanical Services Inc. is seeking a Customer Service-Contract Administrator to work on-site in our South Windsor headquarters office. This position will ensure timely and accurate weekly processing of and support for all new and existing sales agreements.
This role is integral in our back-office operations and has customers facing responsibilities which require clear concise and professional communication via email phone conversation as well as via customer supporting documentation.

Essential Duties & Responsibilities
- Support the Sales team with contract administration activities including coordination and documentation.
- Review customer agreements for accuracy completeness and compliance with internal requirements.
- Enter contracts and related data into the ERP system and track sales activity in Microsoft Dynamics.
- Partner closely with Operations teams to ensure accurate and up-to-date data including contractual obligations asset lists terms and conditions and purchase orders.
- Maintain thorough documentation of customer requirements contract changes amendments and updates to key data points.
- Execute established processes consistently with a strong focus on accuracy and attention to detail.
- Proactively communicate and follow up with internal stakeholders and external customers to maintain workflow continuity and meet business needs.
- Help ensure the smooth flow of work by identifying issues early and supporting timely resolution
- Other related duties as required.
Qualifications
- Minimum 2-year degree required.
- 5 years related experience.
- Proficiency with computers and strong skills in Microsoft Office Products including Outlook and Teams. Dynamics experience a plus.
- A basic understanding of cost accounting with hands-on experience working in an ERP system.
- Must possess strong organizational skills critical thinking accuracy and follow up skills.
- Communicate clearly and effectively with supervisors and crew members.
- Ability to prioritize a time sensitive workload
Physical Demands
This position is in-person in an office working environment.
