We are seeking a Front Desk Receptionist Care Coordinator who is organized personable and detail-oriented. This is a patient-facing role responsible for creating a welcoming experience and supporting smooth clinic operations.
Key Responsibilities
Patient Reception & Experience
Greet patients upon arrival assist with check-in procedures and create a warm and professional environment for all visitors.
Phone & Communication Management
Answer incoming calls respond to patient inquiries and route calls or messages to the appropriate team members.
Appointment Scheduling & Coordination
Schedule consultations treatments and follow-up appointments while maintaining efficient clinic flow and minimizing patient wait times. Coordinate EHR onboarding for new patients including sending intake forms assisting with patient portal setup and ensuring required documentation is completed before appointments.
Insurance Verification & Payment Collection
Verify patient insurance information when needed collect applicable copays or payments and direct billing-related questions to the billing department.
Patient Records Management
Maintain accurate electronic health records (EHR) including patient demographics appointment documentation and communications.
Team Communication & Coordination
Communicate effectively with providers and staff to ensure smooth coordination of patient care and clinic operations.
Front Desk Organization
Maintain a clean organized and professional reception and waiting area.
Administrative Support
Assist with general administrative tasks such as scanning filing and preparing patient forms or documentation as needed.
Qualifications
Front desk or administrative experience preferred
Experience in a medical office healthcare clinic or professional office environment is strongly preferred.
Strong communication and interpersonal skills
Ability to interact with patients and team members in a professional friendly and compassionate manner.
Excellent organizational and multitasking abilities
Capable of managing multiple tasks while maintaining attention to detail.
Computer proficiency
Comfortable using electronic health record (EHR) systems scheduling software and standard office applications.
Professionalism and confidentiality
Ability to handle sensitive patient information with discretion and maintain HIPAA compliance.
Ideal Candidate
The ideal candidate is friendly warm and outgoing with a natural ability to make patients feel comfortable from the moment they arrive.
