Job Summary

Office Assistant

Location: Arlington TX

Compensation: $65000 $75000

Benefits: Health Insurance performance bonus and PTO.

Position Overview

Our client is an established commercial general contractor with a long-standing presence in the market known for delivering high-quality restaurant construction projects and expanding into larger retail and commercial builds.

The Office Assistant will play a key role in supporting daily office operations and bookkeeping functions while helping the team maintain organized administrative and financial processes. This role will work closely with company leadership and will have the opportunity to contribute to building internal systems and procedures as the company continues to grow.

This position is ideal for a detail-oriented and proactive professional who enjoys working in a fast-paced small business environment and wants the opportunity to grow alongside the organization.

Key Responsibilities
  • Process Accounts Payable (AP) including reviewing coding and entering vendor invoices into QuickBooks Online
  • Support Accounts Receivable (AR) functions including tracking incoming payments assisting with invoicing and maintaining accurate records
  • Manage daily office administrative tasks and provide general office support

  • Open and organize incoming mail and billing documentation

  • Review billing emails and prepare invoices and documentation for processing

  • Maintain organized digital and physical filing systems for financial records and company documents

  • Assist with coding and entering accounting data as directed by leadership

  • Ensure documentation and records are accurate organized and accessible

Required Qualifications
  • 3-5 years of experience in an Office Assistant Office Manager or bookkeeping role

  • Experience using QuickBooks Online for invoice entry or basic bookkeeping tasks

  • Strong attention to detail and accuracy when handling financial documents

  • Strong organizational and administrative skills

  • Ability to follow instructions and work collaboratively within a small team environment

  • Comfortable working with Apple products (Mac computers iPhones iPads)

  • Experience using Microsoft 365 including Excel and Outlook

  • Proactive mindset with the ability to stay productive and identify tasks independently

Preferred Skills & Traits
  • Experience working in the construction industry

  • Familiarity with Procore construction management software

  • Interest in helping develop and improve office processes and procedures

  • Tech-savvy with comfort learning new systems and tools

  • Strong communication and teamwork skills

  • Calm organized and patient approach when handling detailed administrative work

  • Ability to adapt in a growing company environment
