Must Haves:

  • 5 years experience as a Project Coordinator in digital transformation modernization or technology enabled projects.
  • Hands-on expertise with Azure DevOps (ADO)
  • Experience coordinating engagement activities with internal teams vendors and external sector partners
  • Experience supporting projects using Agile delivery methodologies (Scrum or Kanban).
  • Creating & maintaining boards and dashboards aligned to delivery lifecycle
  • Generating engagement and sprint reports
  • Design and configuration of epics features user stories and tasks
  • Custom field design aligned to governance model
  • Hierarchy and linkage management across work item levels
  • End-to-end traceability from capability to release
  • Sprint and release cadence configuration
  • Roadmap visualization
  • Integration with external tools (e. g Excel PowerBI)
  • Audit-ready reporting structures
  • Demonstrated experience within the fields of public affairs government relations or stakeholder relationship management.
  • Strong communication skills (written & verbal) with demonstrated ability to synthesize complex information into clear updates.
  • Proven ability to manage competing priorities organize inputs from multiple stakeholders and maintain high-quality documentation.
  • Experience working in government healthcare or multi-stakeholder environments.
  • Strong facilitation and meeting coordination skills: agendas minutes action logs follow-ups.
  • Detail-oriented with excellent organizational and time management skills and the ability to prioritize and handle multiple tasks and competing deadlines.

Description

  • The Agency is responsible for ensuring Ontarians receive high quality timely health care. Since its creation in 2019 the Agency has unified multiple health organizations to strengthen system performance and deliver better care for patients families and providers. As part of the Agencys Digital Excellence in Health (DxH) transformation mandate the ONE ID 2.0 initiative was launched to modernize the provincial provider identity and access management platform and its supporting business and operating models.

Desired Skills:

  • Coordinate stakeholder engagement activities by organizing consultations meetings feedback collection and maintaining accurate stakeholder records and communication materials.
  • Support project delivery and coordination by managing schedules trackers logs and engagement documentation while monitoring risks issues dependencies and progress against key deliverables.
  • Maintain and govern Azure DevOps (ADO) project data by ensuring dashboards work items metrics and documentation are accurate consistent and up to date to support reporting and decision-making.
  • Assist in Agile change and transformation activities by supporting sprint coordination backlog refinement communications readiness tasks and general delivery support across evolving initiatives.

Deliverables

  • Coordinate and schedule workshops design sessions technical reviews and stakeholder consultations.
  • Maintain organized and consistent Azure DevOps (ADO) work items dashboards boards across programs and workstreams.
  • Support tracking and reporting of progress against transformation or upgrade milestones in Azure DevOps and / or other workplan tools.
  • Produce standardized weekly and monthly reporting packages leveraging ADO data and metrics.
  • Support development of high-quality communication materials including project updates change notices presentations and meeting minutes with action logs.

Responsibilities:

  • Maintain accurate stakeholder records contact lists and engagement documentation.
  • Support planning and execution of work activities including stakeholder engagement.
  • Respond to stakeholder inquiries monitor inboxes and document feedback with insights and next steps.
  • Develop and update engagement materials (key messages briefings letters presentations).
  • Liaise with stakeholders to coordinate activities address needs and maintain alignment.
  • Provide administrative support for meetings including scheduling agendas pre reads and minute taking.
  • Assist Project Managers and team leads in tracking deliverables milestones timelines and maintaining structured project artifacts.
  • Monitor project risks and mitigations issues and follow up actions and dependencies.
  • Track key project metrics and key performance tracking toward program goals.
  • Support Agile delivery with sprint activities backlog support and maintenance of work structure and items state dashboards and reports within Azure DevOps (ADO).
  • Assist with program level change management activities including communications training and readiness support during transformations or upgrades.
  • Research regulatory and industry trends and contribute to assignments as needed.

Additional Terms

  • The term of this Engagement Assignment is for 250 Business Days for 1 Senior Project Control Officer with an option to extend for up to an additional 250 days at the Agencys discretion. The Engagement Assignment may be extended for unused Business Days at the Agencys discretion.
  • The resource will comply with the Agencys policies and procedures.
  • The Agency systems cannot be accessed from outside the province of Ontario and Agency assets including laptops and related equipment cannot be removed from the province of Ontario without prior written approval from the Agency.
  • Assignment Type: This position is currently listed as Hybrid. The resource under this request will be required to work onsite as per Hiring Manager sole discretion.
