About the Role

FEE seeks a detail-oriented highly motivated Operations Associate to support and execute key internal processes that keep our organization running smoothly. This role focuses on execution excellence: maintaining established systems ensuring operational consistency and supporting cross-team coordination.

This role serves as the operational backbone for internal people systems andorganizational workflows ensuring consistent execution accuracy andfollow-through across core administrative processes.

The ideal candidate is thoughtful and proactive someone who understands howsmall details connect to big-picture outcomes and takes pride in getting thingsright. By keeping existing operations running effectively this person will helpcreate capacity for new initiatives and continued organizational growth.

The Operations Associate will report to the Strategy and Operations Manager. Thisis an entry-level virtual position.

Key Responsibilities

The responsibilities below represent core operational areas this role will supportrequiring consistent follow-through attention to detail and a proactive approachto maintaining and improving processes.

External Communications and Engagement

  • Maintain and monitor external platforms (e.g. LinkedIn Indeed GlassdoorHandshake) including responding in a timely and professional manner.
  • Coordinate and execute operational promotions related to recruitment andculture including job postings internship openings and team memberspotlights.
  • Ensure all external-facing communication is accurate up to date andaligned with organizational standards.

Onboarding and Offboarding Support

  • Coordinate and execute onboarding and offboarding processes for staff andinterns ensuring a smooth and consistent experience.
  • Schedule and facilitate key onboarding touchpoints including support forhiring managers and welcome meetings with new hires.
  • Track and monitor onboarding and offboarding progress to ensure all stepsare completed accurately and on time.

Culture and Staff Engagement

  • Support planning and execution of internal culture-building activities andlow-lift social events.
  • Coordinate initiatives such as birthday and anniversary recognitions holidaygifts and occasional staff appreciation efforts.
  • Assist in organizing internal educational events such as Lunch & Learns andAdvisory Board talks.

Systems and Records Management

  • Maintain and update internal systems records and databases (e.g. org chartstaff directory testimonials intern data etc.) with a high level of accuracyand organization; identify inconsistencies or gaps and escalate as needed.
  • Ensure all internal documents templates and SOPs remain currentconsistent and aligned with organizational standards.

Event and Administrative Support

  • Provide logistical and administrative support for internal events includingstaff retreats director meetings and board meetings as needed.
  • Assist with coordination scheduling and preparation to ensure events runsmoothly.

Key Qualifications and Skills

  • Degree in Business Administration Operations Management HumanResources Economics or a related field.
  • Exceptional organizational skills with keen attention to detail and the abilityto efficiently prioritize tasks.
  • Excellent written and verbal communication skills for effective collaborationat all levels.
  • Proficiency in Google Workspace (Docs Sheets etc.) and willingness to learnnew software and tools. Prior experience with Notion orSalesforce is a plus.
  • Independent and team-oriented demonstrating a proactive and positiveapproach to work; takes initiative to understand processes contribute ideasand improve systems while collaborating effectively with others.
  • Strong problem-solving abilities with a creative and resourceful mindset.
  • Experience coordinating events meetings or administrative processes is aplus.
