Job Overview
We are seeking an Intermediate Administrative Assistant to provide administrative and clerical support to managers and staff. The role involves handling client communications managing records assisting with certification assessments and supporting daily office operations.
Key Responsibilities
Client Service & Communication
Respond to phone and email inquiries from educators operators parents stakeholders and the public
Provide accurate information on certification requirements policies and procedures
Manage high call volumes and handle inquiries professionally
Credential Assessment & Certification
Assess Canadian and international education credentials according to Alberta Child Care Staff Certification standards
Review programs of study and make certification recommendations
Manage first-level certification appeals and staff qualification exemptions
Data & Records Management
Maintain and update client data in CCIS and ECDS systems
Manage client files and verify documents for accuracy
Monitor data quality and identify issues for follow-up
Administrative Support
Perform data entry document processing scanning and file management
Assist clients with forms applications and document submissions
Support training and onboarding of administrative staff
Stakeholder Support
Coordinate with educational institutions and credential assessment organizations
Maintain relationships with organizations delivering Level 1 Child Care Orientation courses
Assist in system testing process improvements and development of program materials
Requirements
Experience in administrative support or office administration
Strong customer service and communication skills
Experience with data entry and records management systems
Ability to handle multiple tasks and high call volumes
Strong attention to detail and organizational skills
