The Ensworth Visual and Performing Arts Program Coordinator will work under the supervision of the K-12 Arts Director to support K-12 Arts programming at Ensworth. This position provides administrative support with responsibilities that will coordinate a variety of aspects of the K-12 Visual and Performing Arts Program i.e. event calendar planning overall event logistics promotion marketing communications catering financial reporting box office management and artists/community relations to ensure quality programming and smooth-running events. The ideal candidate must be highly organized detail-oriented efficient responsible personable able to work independently and collaboratively and will have a background and education in the visual and/or performing arts with previous experience supporting arts programming the service of events entertainment productions and preferably knowledge of the inner workings of an educational institution.
Key Responsibilities and Essential Functions:
- Abides by Ensworths Employee Handbook and Code of Conduct

- Adheres to the Essential Expectations of an Ensworth Faculty Staff or Administrator
- Works on both campuses and will travel between locations.
- Works as an Arts Administrative Team Member facilitating Arts Project Management - monitoring and maintaining Basecamp/SchoolDude for all K-12 Arts events
- Supports All Arts Department Programming - events galleries summer programs all school activities building rentals and facility supervision as an Arts Administrative Team Member.
- Facilitates arts calendar event planning including marketing catering day-of logistics creation of print materials and general support of performance and events
- Creates Posters Programs and Promotional Materials for K-12 Arts events using Canva InDesign and Adobe Creative Cloud working collaboratively with the Design and Creative Services Department.
- Facilitates K-12 Arts Department communications and social media working collaboratively with the Marketing and Communications Department
- Installs Artwork as a collaborative aid to the K-12 Visual Arts Dept facilitating gallery shows campus beautification art collections and end-of-semester events on both campuses.
- Facilitates catering and food ordering for all K-12 Arts Events and Arts-related programming.
- Facilitates Ticketing for all HS Arts Events
- Collaborates and works with the Ensworths Parent Association Arts Council to facilitate their involvement and partnership with the Arts Department for all K-12 Events.
- Works all Frist Campus HS Arts Department functions and events including those in the evenings and on weekends as a visible and approachable representative/docent of the Arts Department and overall community member
- Works as a collaborative and supportive member of Arts Team bringing positive energy and a strong roll up your sleeves work ethic to all aspects of work in support of productions and events.
- Is a highly visible approachable and communicative community member available to answer questions provide assistance and represent the school and program with a high degree of professionalism.
- Supervises and monitors the Ingram Arts Center facilities during any after-school activities until the close of the building.
- Support All Arts Department Summer Programming Activity and Building Supervision.
- Documents all programming and events for archival purposes and future analysis; including but not limited to: ticket sales attendance contractual agreements and general observations
- Other duties as assigned
Qualifications/Experience:
- Bachelors Degree in the Arts an Arts related field marketing communications or event management.
- Minimum 2-4 years of experience in an administrative role preferably in the arts entertainment education or events space
- Prior experience in photography multimedia editing and knowledge of marketing and social media
- Advanced understanding and ability to use computers and technology including Microsoft Excel Word PowerPoint basic office equipment and Adobe Creative Suite
- Well-developed interpersonal written and verbal communication skills including the ability to communicate effectively with all constituents in a school environment including students co-workers parents alumni volunteers and the public
- Possess a positive team mentality with excellent problem-solving multi-tasking and organization skills
- Professional and efficient in their ability to work independently while also able to effectively collaborate with internal teams and external partners
- Ability to handle multiple tasks simultaneously with differing deadlines
- High degree of accuracy superior attention to detail
- Must successfully complete background screening and verification
- Continued Education Programs (as required by Grade Level and/or position) Periodically participate in different training sessions identified by you the employee and/or Divisional Leadership/Supervisor with the goal of keeping our teachers and staff up to date with current teaching methods practices and any new knowledge in their respective field. Dependent on the program such training may need to take place outside of normal working hours and/or in the summer months.
Physical Requirements and Work Environment:
- Regularly works in standard performing arts theater office and classroom conditions
- Ability to regularly work flexible hours to support after-school weekend events and holidays including some overtime
- Works at a computer screen for extended periods of time; ability to observe students from various distances
- Frequently required to move around the theater/office/classroom; works at a desk for extended periods of time; occasionally moves around campus and arts facility
- Ability to occasionally move items weighing up to 50 lbs. across the gallery theater and arts classrooms
- Occasionally works in a stressful performance environment effectively dealing with a wide variety of challenges deadlines and a varied and diverse array of contacts; stamina to maintain attention to detail despite interruptions
- Ensworth requires employees to be physically present on campus with limited exceptions that are at the sole discretion of the School. Under extraordinary circumstances some or all of the workforce may be required to move to a remote working environment. Additionally certain individuals may also be approved for limited remote work based on the nature of the job description specific circumstances and only with written prior approval by a direct supervisor.
