JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 1 provides general clerical and administrative support to the Department of Occupational Therapy. This is a part time position.
Responsibilities- Serves as the forward-facing representative of the department providing an open-door approach to address the needs of students faculty and visitors while ensuring a welcoming and professional environment.
- Supports departmental objectives programs and provides customer service to faculty staff and students.
- Organizes proofreads and edits program materials letters and other correspondence.
- Assists with collating and preparing fieldwork site data and student scores for analysis as required for accreditation purposes.
- Works directly with the chair to communicate budget items obtain approvals and signatures and tracks monthly and annual expenditures.
- Assists with maintaining site records in Exxat.
- Assists with onboarding procedures for students in preparation for fieldwork placements.
- Provides administrative support for the admissions process; tracks immunizations; updates recruitment materials.
- Performs other duties as assigned.
QualificationsMINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: One (1) year of administrative experience; ORAssociates Degree in lieu of experience.
KNOWLEDGE SKILLS AND ABILITIES:
- Ability to produce accurate clear concise timely and thorough meeting minutes and other documentation for distribution and recordkeeping.
- Ability to multitask work respectfully and communicate with individuals.
- Ability to communicate effectively (both written and oral) with executives upper administration faculty members vendors employees students and prospective students.
