Must have excellent communication and interpersonal skills including the ability to relate effectively with individuals from all demographic groups. Answer incoming phone calls on the transportation line and schedule transportation for clients with The Senior Alliance Transportation program after exploring all other options for transportation. Coordinate multiple transports using Microsoft Outlook and routing software to schedule drivers for all pickups and drop-offs. Must be able to do multiple tasks. This position will require use of a computer to access and input information. Must demonstrate the ability to follow protocols and procedures. Must employ a professional manner that promotes interagency cooperation and evokes respect. Must be willing to obtain a chauffeur license and transport clients when needed. Must be able to make decisions dispatch individuals and have a sound understanding of the Wayne County geographic area. Must be flexible and have the ability to problem solve when last minute schedule changes occur due to client cancellations or driver call-ins. Physical Requirements: - Regularly required to sit for extended periods of time
- Regularly spend long hours using office equipment primarily telephones and computers
- Regularly work on repetitive tasks and motions
- Ability to lift up to 50 pounds
- Ability to push and pull a wheelchair and safely secure the wheelchair in the vehicle
- Stand walk reach and bend
- Ability to walk on uneven surfaces including outdoor sidewalks
Duties: - Manage staff including timecard management performance reviews scheduling recruiting training etc.
- Meet with each employee regularly to oversee work provide consultation and assess skillset.
- Monitor the transportation phone line and return calls daily.
- Work cooperatively with the Information and Assistance team to share all transportation options to callers.
- Schedule daily transportation for individuals and their caregivers using transportation software and Microsoft Outlook ensuring data is accurately and completely documented.
- Coordinate vehicle schedules and manage multiple rides.
- Assign daily schedules for drivers ensuring they have their assignments at least one day in advance.
- Must be able to make unexpected changes to the schedule and communicate changes to drivers in a timely manner.
- Must obtain a chauffeurs license and assist in transporting clients when needed.
- Ensure daily confirmation of the next business days appointments.
- Complete and submit monthly reports as requested.
- Initiate incident reports when appropriate and complete with management.
- Create agendas and run monthly transportation meetings and trainings.
- Develop prepare and produce accurate programmatic and data reports as required.
- Coordinate and oversee routine vehicle maintenance and servicing to ensure transportation operations remain safe compliant and efficient.
- Schedule preventative maintenance inspections and repair appointments with approved service vendors.
- Maintain accurate vehicle maintenance records service logs and compliance documentation for the transportation department.
- Monitor maintenance schedules mileage tracking and service timelines to minimize service interruptions.
- Communicate with drivers and leadership regarding vehicle issues repair updates and availability of fleet vehicles.
- Assist with program growth activities including developing alternative program models funding applications and other opportunities.
- Assist with other duties as assigned.
