Position Overview:
We are seeking a highly organized and proactive Executive Secretary with experience in SAP (Systems Applications and Products) to support senior management and ensure efficient operations within the organization. The ideal candidate will possess strong administrative and communication skills as well as proficiency in SAP software to manage internal processes report generation and data entry. This role involves maintaining schedules coordinating meetings preparing documents and supporting a variety of executivelevel tasks.
Key Responsibilities:
Executive Support:
- Provide comprehensive administrative support to senior executives including calendar management travel coordination and correspondence handling.
- Assist in preparing presentations reports and other documents for executive meetings and business reviews.
- Manage the flow of information between departments ensuring timely communication and followup.

SAP Data Entry and Reporting:
- Utilize SAP software to input track and manage critical business data including procurement inventory and financial information.
- Generate reports from SAP as required by management ensuring accuracy and timeliness.
- Assist in monitoring and managing SAP modules related to procurement inventory finance HR and logistics as needed.

Meeting and Event Coordination:
- Schedule and coordinate internal and external meetings including logistics agendas and materials preparation.
- Act as the point of contact for key stakeholders and ensure meetings run smoothly.
- Organize company events and executivelevel functions ensuring all logistical details are handled efficiently.

Document Management:
- Maintain and organize electronic and paper files ensuring all important documents are accessible and uptodate.
- Handle confidential information with discretion and in compliance with company policies.
- Draft edit and proofread business correspondence reports and other documents.

Internal Coordination:
- Work closely with various departments to ensure the smooth functioning of daily operations and to resolve issues that may arise.
- Support the Finance HR and Procurement departments by ensuring SAP transactions are up to date and accurate.
- Facilitate internal communication and collaborate with team members to achieve company goals.

Adhoc Administrative Tasks:
- Provide assistance with special projects administrative tasks and other duties as assigned by senior management.
- Assist in budgeting invoice tracking and general financial management through the SAP system.

Required Skills and Qualifications:
- Education: Bachelors degree in Business Administration Management or related field.
- Experience:
- Minimum of 35 years of experience as an Executive Secretary Administrative Assistant or in a similar role.
- Proven experience using SAP for administrative tasks such as data entry reporting procurement and finance.

- Proficient in SAP with handson experience in at least one SAP module (e.g. SAP FICO MM SD).
- Advanced proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook).

Preferred Qualifications:

Working Conditions:
- Fulltime position.
- Officebased with potential for occasional remote work.
