JOB TITLE: DISTRICT RECEPTIONIST/SECRETARY
JOB SUMMARY: The person holding this position will greet and interact with visitors in a positive and professional manner including in person on the phone and in writing. This person will be able to provide basic information about our school district as requested by patrons. This person will also provide general clerical support to the OTIS Business Operations and HR Departments as assigned.
ESSENTIAL FUNCTIONS:
- Serves as a receptionist; operates a multi-line telephone system to receive incoming calls and messages; greets parents staff and the public; answers and refers telephone and in-person inquiries; directs patrons to destinations and sites; and takes messages.
- Maintains familiarity with general information relevant to Yukon Public Schools.
- Provide focused support to IT Business Operations and HR Departments as assigned.
- Distributes US mail and interschool mail including materials and packages supplies messages etc. for the purpose of disseminating materials and information to the appropriate parties.
- Performs general secretarial and clerical functions (e.g. scheduling copying faxing data entry filing phone management etc.) for the purpose of supporting district office operations.
- Provides assistance with special projects to include bulk mailings data gathering building and/or room set-up copying collating and organizing data for sharing and compliance checks/due-date checks
- OTIS- Facilitates employee badges and badge access employee access to online accounts including email and printing services requests. Assists with workflow processing as needed including invoicing. Assist with toner requests for sites and departments on managed and non-managed printers/copiers.
- Operations-Reporting and recording safety and security drills playground safety compliance and monthly facility compliance and accident/incident reports manage facility requests and invoices etc.
- Human Resources - Submission and uploading/scanning of various documents such as Back to School Checklists; evaluations; contracts; and tentative assignments.
- Business Office - Compiles and scans invoices and other documents in accounting software program. Assist with confirming and preparing deposits for the activity fund.
- Manage vault on a daily basis including processing deposits and/or receipts according to District policy.
- Manage postage machine including general maintenance maintaining an account balance and processing postage for mailings.
- Background Checks
- Conducts volunteer background checks for public safety; conducts interim volunteer background checks for employees as needed
- Coordinates with Human Resources to complete the annual Sex Offender/Mary Rippy Violent Offender Checks
- Oversees the background check process and maintains spreadsheets/records for approved and failed background checks.
- Works cooperatively with the District Volunteer Programs Coordinator to complete background checks on time; communicates effectively with school sites regarding background checks
- Ensures confidentiality of all information gathered.
EDUCATIONAL/TRAINING REQUIREMENTS:
- High School Diploma or equivalent
- Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: ability to use office software and office equipment including Microsoft Word Excel Google school-related software copiers and fax machines; proficient with English grammar punctuation spelling and vocabulary; and general knowledge of the characteristics and components of the District.
- Specific ability-based competencies required to satisfactorily perform the functions of the job include: ability to communicate with various groups of people including communication with parents teachers transportation administrators and outside agencies; adapting to changing work priorities; meeting deadlines and schedules; setting priorities; working as part of a team; working with detailed information/data; schedule activities meetings and/or events; gather process and distribute information and data; and public service skills to include congeniality professionalism and excellent oral and written communication.
WORKING CONDITIONS:
- Some lifting carrying pushing and or pulling; Some stooping kneeling crouching and/or crawling; Generally the job requires 90% sitting 5% walking and 5% standing.
- May experience constant interruptions inflexible deadlines and changes to normal routines.
- Must be an effective communicator including verbal and written communications.
