EDUCATION LEVEL: | High school diploma; one to two years vocational training preferred.

ESSENTIAL FUNCTIONS & DUTIES
- Creates documents including correspondence memos brochures spreadsheets flyers mailings and agendas for meetings using District software.
- Organizes and maintains an accurate record-keeping system.
- Follows District guidelines for ordering materials using the online purchase order system and p-card.
- Processes purchase orders for curriculum materials - inputs and tracks purchase orders; unpacks and checks in materials received.
- Processes curriculum materials and sends them out to appropriate departments or buildings.
- Travels to the warehouse at Central Services to check in and distribute large orders of materials.
- Maintains detailed excel spreadsheets for materials and orders.
- Prepares basic reports about supplies and materials needed or on-hand and collects fees needed to balance orders and accounts. Requests quotes for materials needed to be included when submitting purchase orders. Tracks the purchase order status as well as inventory receipt confirmation. Assists in preparing additional related reports as requested deposits and reconciling of accounts.
- Maintains a calendar for coordinators and the fine arts calendar for the district.
- Prepares distributes and responds to all forms of correspondence for department functions coordinator-called meetings and All-State competitive events.
- Assists with procedures reservations and accounting for All-State Band Orchestra Choir and music contests.
- Organizes fourth-grade recorder distribution and instrument repairs by collaborating with instructors collecting fees when needed and tracking inventory.
- Collaborates with principals and music staff on the construction of the fine arts calendar to avoid scheduling conflicts between schools.
- Provides accurate and timely filing of documents and materials such as All-State results waivers for the state curriculum adoption orders high school contracts and fine arts rotational travel.
- Assists coordinators and instructional coaches in logistical preparation for meetings and district in-service.
- Assists with high school graduation ceremonies including set up students seating collaborating with registrars for statistics needed for newspaper and creating accurate printed programs for each high school.
- Designs and assists in the publication of the high school course handbook.
- Assists with a letter for high school registration for 8th-grade students.
- Fills out and verifies PAFs for the Fine Arts Department staff and submits to Human Resources for approval.
- Assists with the AP program - data summary recognition and payment of exams.
- Maintains and updates information on the District website related to high school curriculum and fine arts.
- Uses verbal and written communication skills to field questions related to high school and fine arts programs.
- May serve as a receptionist at the front desk at IPC.
- Performs other duties as assigned by the Coordinators.

PAY INFORMATION
Class II Level IX starting at $20.45 per hour
Pay Day: Last working day of each month.
HOURS & FTE
Monday through Friday 8:00am to 5:00pm with a 1-hour unpaid break
Summer Hours: Monday through Thursday 7:00am to 5:30pm with a 30-minute unapdi break
1.0FTE 40 hours per week 12 months
