Description
The Receptionist is responsible for serving visitors and guests at Manna Church by greeting welcoming and directing them appropriately. Provides general office staff support with a variety of clerical activities and related tasks.
General Responsibilities:
The Manna Church exists to glorify God by equipping His people to change their world. As a Manna Church Staff member you are to assist in this vision by embodying the values and culture of Manna Church by engaging within the local church tithing living a lifestyle consistent with our bylaws and by modeling SERVE - See and Shape the Future Engage and Develop Others Reinvent Continually Value Results and Relationships and Embody the Values.
Essential Duties and Responsibilities:
- Return all communications within 24 hours (1 business day)
- Ensure Paylocity is up to date
- This includes recording your own hours approving your shifts by the 5th and 20th of each month and requesting leave in a timely manner.
- Answer and direct incoming phone calls and emails with politeness clarity and ability to communicate information and details of calls with the Manna staff quickly and efficiently.
- Greet and assist visitors walk-ins and appointments.
- Refer Benevolence process to the Dream Center:
- Handing out Benevolence phone number.
- Giving them the necessary information to contact the Dream Center/FayCares.
- Be socially aware in speaking with individuals that are going through a crisis.
- Manna Care Intake:
- Walk-ins/Call-ins
- Communicate with the on-call Team to ensure availability and to know where to direct emergent situations.
- Sending Manna Care Intake forms
- When requested send the Manna Care Intake form link to the requestors email.
- Manna Church Community Store:
- Assist with call-ins and questions regarding donations and store hours.
- Remain up to date with store guidelines.
- Assist Central Administrative Coordinator in Guest Card entry:
- Enter Guest Cards at the beginning of the week into ROCK-RMS (if not done from weekend)
- Hispanic First Time Guest Cards Salvation & Rock RMS Forms
- Guest Cards - Hispanic Pastor will drop off Guest Cards on Mondays. Enter:
- Site: Servicio Espanol
- Service Time: 12:30 PM
- Once the guest and salvation cards are entered put them into the Hispanic Pastors mailbox.
- Mail out guest letters by mid-week.
- Assist Central Administrative Coordinator:
- New Members Letters (after Pastor/Director has approved membership)
- Baptism Certificates
- Child Dedication Letters (after dedication)
- Grief Share Mailouts (You will be tasked through ASANA for the monthly management of the mailouts/letters)
- Keep the coffee bar stocked and clean including doing monthly inventory of kitchen supplies and purchasing necessary kitchen items for the 3rd floor. (such as: coffee cups plates utensils napkins creamers etc.).
- Ensure coffee is fresh throughout the day.
- Check and stock 3rd Floor restroom needs bimonthly.
- Ensure that the plants (if any) in the lobby are regularly watered.
- Lock and unlock the elevator for open and closed hours.
- Assist Small Group Department with:
- Screen/help small group calls by helping answer questions about small groupsvia website or app or helping bridge the gap between a leader and someone interested in a group.
- Manage Reception Desk Coverage Lunch Calendar with coordination of other Administrative Staff.
- Answer and/or forward emails or any other corporate emails.
- Communicate updated information.
- Receive mail as needed and sign for packages.
- Assist with Data Entry as requested/needed.
