POSITION OVERVIEW

The Administrative Assistant supports daily office operations and provides administrative coordination for project teams and internal departments. This role helps ensure smooth communication organized documentation and efficient office workflows while assisting with logistics events and project coordination activities. The ideal candidate is proactive highly organized and comfortable managing multiple responsibilities at once. Strong communication skills attention to detail and proficiency in Microsoft Office Suite are essential for success in this role.

KEY RESPONSIBILITIES:

Provide general administrative support to office leadership and staff.

Maintain conference room schedules and coordinate meeting logistics.

Greet visitors answer the door and accept deliveries.

Manage incoming and outgoing mail.

Submit and track courier requests.

Order stock and maintain office and kitchen supplies.

Maintain the materials library vendor product displays and product sample requests.

Coordinate the CEU (continuing education) and vendor presentation calendar

Coordinate product sample deliveries and ensure materials reach the appropriate team members.

Assist project teams with electronic filing and documentation organization.

Assist with coordinating internal and external events with team leads and vendors.

Support the Marketing team with event planning and event setup.

Assist with additional administrative projects and office initiatives as needed.

Facilities Management that includes working with the Landlord and other vendors to help maintain a clean working environment.

REQUIRED QUALIFICATIONS

35 years of relevant administrative or office support experience

Strong organizational skills with the ability to manage multiple priorities

Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint)

Excellent communication and interpersonal skills

Strong attention to detail and ability to follow through on task

Ability to work both independently and collaboratively in a team environment

PREFERRED COMPETENCIES

Experience working in an architecture design engineering construction or development environment

Experience supporting project-based teams

Familiarity with document management or project coordination workflows
