Position: Part-Time Administrative Assistant Transportation
Supervisor: Transportation Manager
Non-Exempt
General Job Description: Under the general supervision of the Transportation Manager will perform specialized
clerical duties that support the Transportation Department.
Work Schedule: Casual Contract Hours 4
Qualifications:
o High School Diploma or equivalency.
o Class B CDL w/ school bus and passenger endorsements or ability to obtain within 6 months of hire.
o Strong communication skills.
o Knowledge of modern office practices and procedures.
o Ability to operate standard office machines and be computer literate.
o Have a working knowledge of Microsoft Office Excel and Google sheets and documents.
o Ability to demonstrate high proficiency in duties; working through to completion with little or no
supervision.
o Ability to deal courteously and tactfully with District Personnel and the public.
o Ability to exercise initiative independent judgment and discretion in performing duties.
o Knows the importance of confidentiality.
Physical Requirements:
o The employee is frequently required to sit; stand; walk use hands and finger handle or feel; reach with
hands and arms; climb or balance; stoop kneel crouch or crawl; and talk or hear.
o The employee must occasionally lift or move more than 25 pounds. Specific vision abilities required by
this job include close vision distance vision color vision peripheral vision depth perception and ability
to focus. Reasonable accommodations may be made to enable individuals with disabilities to perform
the essential functions.
o Occasionally exposed to wet and/or humid conditions; moving mechanical parts; high precarious places;
fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; extreme cold;
extreme heat; risk of electrical shock; explosives; and vibration. Noise level is usually moderate.
Performance Responsibilities:
o Responsible for vehicle maintenance schedules repair orders and work orders.
o Assists the Lead Mechanic with acquiring quotes and purchasing.
o Assists Bookkeeper as needed.
o Assists Disciplinarian as needed.
o Responsible for fleet maintenance database.
o Responsible for maintaining the fuel system database and monthly invoicing.
o Monitors the scheduling of vehicles for regular maintenance.
o Must have the ability to communicate effectively and maintain good public relations.
o Day to day office activities record keeping of inventories invoicing and purchasing filing.
o Prepare type and distribute memos and letters as needed.
o Comply with federal state and local statutes and regulations.
o Other duties as assigned by Transportation Manager.
