Job Summary

Job Title: Receptionist

Location: Irvine CA 92618

Duration: 6 months with possible extension

Shift: Standard shift.

Responsibilities

Front Desk & Reception (Approx. 60%)

  • Greet and assist visitors clients and employees in a professional and friendly manner
  • Manage incoming phone calls and direct them to appropriate departments
  • Maintain visitor logs and issue visitor/security badges
  • Monitor front desk area to ensure a safe and welcoming environment
  • Follow escalation and emergency procedures when necessary
  • Provide general information and support to guests and staff

Administrative Support (Approx. 40%)

  • Scheduling & Calendar Management: Coordinate meetings and manage conference room reservations
  • Document Handling: Filing scanning photocopying and organizing documents
  • Mail Management (Backup): Sort incoming mail and prepare outgoing packages
  • Vendor Coordination: Communicate with service providers such as cleaning and maintenance vendors
  • Email Correspondence: Respond to general inquiries and internal communications
  • Event Support: Assist with organizing company meetings or events
  • Reporting: Prepare badge access reports and assist with related tracking

Systems & Tools

Candidates should be comfortable using:

  • Microsoft Office Suite (Outlook Word Excel)
  • Multi-line phone systems
  • Visitor log and badge/security systems (specific software experience not required)

Qualifications

  • Previous receptionist or front desk experience in a corporate environment
  • Strong communication and phone etiquette skills
  • Professional and polished customer service approach
  • Experience supporting office administration tasks
  • Ability to manage multiple responsibilities in a fast-paced environment
  • Familiarity with office safety and emergency procedures
