Job Title: Receptionist
Location: Irvine CA 92618
Duration: 6 months with possible extension
Shift: Standard shift.
Responsibilities
Front Desk & Reception (Approx. 60%)
- Greet and assist visitors clients and employees in a professional and friendly manner
- Manage incoming phone calls and direct them to appropriate departments
- Maintain visitor logs and issue visitor/security badges
- Monitor front desk area to ensure a safe and welcoming environment
- Follow escalation and emergency procedures when necessary
- Provide general information and support to guests and staff
Administrative Support (Approx. 40%)
- Scheduling & Calendar Management: Coordinate meetings and manage conference room reservations
- Document Handling: Filing scanning photocopying and organizing documents
- Mail Management (Backup): Sort incoming mail and prepare outgoing packages
- Vendor Coordination: Communicate with service providers such as cleaning and maintenance vendors
- Email Correspondence: Respond to general inquiries and internal communications
- Event Support: Assist with organizing company meetings or events
- Reporting: Prepare badge access reports and assist with related tracking
Systems & Tools
Candidates should be comfortable using:
- Microsoft Office Suite (Outlook Word Excel)
- Multi-line phone systems
- Visitor log and badge/security systems (specific software experience not required)
Qualifications
- Previous receptionist or front desk experience in a corporate environment
- Strong communication and phone etiquette skills
- Professional and polished customer service approach
- Experience supporting office administration tasks
- Ability to manage multiple responsibilities in a fast-paced environment
- Familiarity with office safety and emergency procedures
