The Administrative Coordinator will provide high-level administrative operational and organizational support to the Chair and Vice Chair within the Windreich Department of Artificial Intelligence and Human Health (AIHH). This role is critical to ensuring the efficient functioning of departmental leadership complex academic initiatives and cross-institutional collaborations spanning AI research clinical innovation and population health. Reporting to the Chief of Staff the Administrative Coordinator will serve as a trusted partner to leadership exercising discretion sound judgment and pro-active problem solving in a fast-paced academic medical environment.
Responsibilities- Provide comprehensive administrative support to department leadership including complex calendar management meeting coordination and travel arrangements Serve as a primary point of contact for internal and external stakeholders managing communications and ensuring timely follow-up
- Prepare review and organize briefing materials presentations reports and correspondence for leadership meetings and events
- Assist in coordinating departmental meetings seminars and events including agenda development logistics note-taking and action-item tracking
- Maintain organized records files and documentation related to departmental activities leadership priorities and institutional initiatives
- Assist with onboarding and coordination for new faculty staff collaborators and visiting scholars as needed
- Exercise sound judgment in prioritizing requests and escalating issues appropriately to leadership
- Establish effective working relationships across AIHH CBIPM HPIMS and Mount Sinai Administrative Offices
- Performs other related duties as assigned
Qualifications- Bachelors Degree or equivalent combination of applicable
- 5 years related administrative or business experience required. Some supervisory experience preferred. experience and education
Preferred:
- Extensive experience supporting senior executives in an academic healthcare or research setting
- Exceptional organizational skills with the ability to manage multiple priorities deadlines and stakeholders simultaneously
- Strong written and verbal communication skills including professional correspondence and document preparation
- High degree of professionalism discretion and confidentiality when handling sensitive information
- Demonstrated ability to anticipate needs proactively resolve issues and operate independently
- Strong interpersonal skills and ability to work effectively with faculty staff external partners and institutional leadership
