The Administrative Assistant provides comprehensive interdepartmental support for Directors and management. Responsibilities include ensuring efficient operation and completion of administrative tasks. This role is essential in maintaining an organized office environment by managing diverse responsibilities that aid in achieving departmental goals.
Essential Duties & Responsibilities
- Provide overall administrative support to a business unit to include assisting with invoicing collections and other required administrative functions to support project teams.
- Processpayroll and paperwork.
- Complete Workmans Compensation Claims processing by company standards and payroll management weekly troubleshooting any issues.
- Create invoices obtain liens asrequested process through accounting andsubmitto the customer through online portals email and mail or as directed.
- Assistwith monthly billings and collections.Create Purchase Orders and enter them intoERP software (COINS) FedEx Shipping and Receive orders daily.
- Process project contracts through the home office as per the procedure.
- Process closeout documents including warranties.
- Arrange for certified payroll and lien processing asrequired.
- Oversee maintenance of current licensing.
- Order Certificates of Insurance asrequested.
- Obtain officer-required signatures on required documents and complete contract breakdowns to get a job number.
- Complete Notice to Owner periodically for billing contracts.
- Establish a relationship with the Service Manager and coordinate work orders to the completed customer invoices.
- Report andmaintainfluid record-keeping with Miller Electric Companys accounting department.
- Be authorized toperform certain legal formalities such aswitnessingsignatures and dates.
Qualifications
- High school diploma
- Excellent personal interaction and communication skills
- Ability tomaintaina high levelof trust and confidentiality with sensitive items
- Positive attitude and the ability to work with and learn from others
- MS Office computer skills (Word Excel PowerPoint Teams)
- Excellent attention to detail
- Ability to work independently
PREFERRED
- Knowledge of the Construction industry
- Knowledge of SharePoint
- Experienced with COINS
- Payroll experience
