Our client is hiring an Administrative Assistant to support the Co-founder/CTO with day-to-day coordination organization and follow-through as the company grows.

The business is moving quickly. Customers are active. Product is evolving. The co-founders s attention is stretched across meetings decisions hiring and client conversations.

This role exists to provide strong administrative and organizational support ensuring priorities stay organized meetings run smoothly and follow-ups are tracked consistently.

What Youll Own:

Administrative support

  • Manage and optimize the co-founders calendar scheduling meetings and resolving conflicts.
  • Manage the co-founders email
  • Prepare agendas take notes and track action items from meetings.
  • Coordinate travel logistics and scheduling for internal and external meetings.
  • Organize documents materials and communications to ensure the co-founder is prepared.

Backlog tracking follow-up coordination

  • Maintain a running list of open items decisions and follow-ups.
  • Send reminders and ensure tasks are tracked and documented.
  • Help organize priorities so important items dont get lost.
  • Assist with organizing weekly leadership meetings and documenting outcomes.

Communication coordination support

  • Draft and edit emails and communications as needed.
  • Prepare simple briefing materials for key meetings.
  • Support coordination between teams when scheduling or follow-ups are required.
  • Maintain professional and timely communication with internal and external stakeholders.

What success looks like in your first 90 days

  • The co-founders calendar runs smoothly with minimal scheduling conflicts.
  • Meetings are organized notes are documented and follow-ups are tracked.
  • The co-founders experiences improved organization and reduced administrative burden.
  • Action items from leadership meetings are consistently documented and visible.

Qualifications

  • 24 years of experience as an Administrative Assistant Personal Assistant or similar support role.
  • Strong calendar management and scheduling experience.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Comfortable working in a startup or fast-moving environment.
