Job Description:
We are seeking a friendly professional and organized Front Desk Receptionist to join our real estate company. As the first point of contact for our clients guests and vendors the Receptionist will play a key role in creating a positive and welcoming experience. This individual will provide administrative support manage phone calls and assist with various office duties ensuring the smooth operation of our real estate office.
- Greet clients visitors and vendors with a warm professional demeanor and direct them appropriately.
- Answer and manage incoming phone calls emails and inquiries in a courteous and timely manner.
- Schedule appointments and meetings for agents clients and management.
- Assist with preparing and organizing documents and files for real estate transactions and meetings.
- Maintain the reception area ensuring it is tidy and presentable.
- Handle incoming and outgoing mail packages and deliveries.
- Provide general administrative support to the real estate team including data entry filing and office organization.
- Assist with basic property inquiries and offer initial information to potential clients.
- Manage office supplies and inventory placing orders as needed.
- Coordinate with maintenance IT and other departments to resolve office issues and ensure smooth operations.
- Support the marketing team with client-facing communication and social media posts as needed.
Qualifications:
- High school diploma or equivalent.
- Proven experience in customer service or as a receptionist preferably in a real estate or office environment.
- Excellent communication skills both verbal and written.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word Excel Outlook) and general office equipment (printers scanners).
- Ability to work independently and as part of a team.
- Friendly and professional demeanor with a customer-focused approach.
- Knowledge of real estate terminology or willingness to learn.
