DescriptionAbout the Work Unit
The Clinical Placement Office works collaboratively with faculty program directors and students to ensure all students have a productive clinical experience. The Office is responsible for coordinating clinical placements across VUSN academic programs and ensuring all appropriate agreements are in place and all agency requirements are met for student rotations. This includes working with clinical partners across Middle Tennessee throughout the United Statues and occasionally internationally.
Key Functions and Expected Performance
Clinical Placement & Rotation Management
- Coordinate student clinical rotations for assigned undergraduate and graduate nursing programs in partnership with faculty and external agencies.
- Manage rotation schedules and changes on an eight-week cycle to ensure continuity and accuracy
- Compile publish and maintain student placement data and rosters across multiple systems (Exxat VUMC and external platforms as applicable)
- Attend and support orientations for assigned student cohorts
Compliance Credentialing & Systems Administration
- Ensure students and clinical faculty meet all institutional and agency compliance requirements
- Clear and credential clinical faculty for teaching assignments as required
- Submit required documentation to maintain VUSN and agency compliance and prevent rotation delays
- Maintain accurate student and faculty records across multiple systems (Exxat TCPS VUMC portals and external systems as applicable)
- Services as TCPS back-up during peak volume periods.
Communication & Operational Coordination
- Partner with program directors and faculty for assigned programs to establish timelines and meet operational deadlines
- Communicate placement details requirements and changes to students and faculty
- Initiate and support VUMC VUNetID and eStar access and troubleshoot common access issues
- Respond to student inquiries and provide individualized support as needed
- Participate in Clinical Placement departmental meetings
Supervisory Relationships
This position does not have supervisory relationships. This position reports administratively and functionally to the Director of Clinical Affairs Operations.
Education and Certifications
Bachelors degree preferred; relevant job experience may be accepted in lieu of a degree
Experience and Skills
- Two to four years of experience in higher education healthcare administration or clinical education preferred
- Demonstrated experience coordinating complex schedules and deadlines with multiple stakeholders
- Proven ability to work in a compliance-drive and highly regulated environment
- Experience using student information systems or clinical placement platforms (e.g. Exxat TCPS) preferred
