Our team is seeking an experienced Administrative Assistant with a background supporting commercial construction operations to help manage day-to-day office functions and support project teams.
Position Overview
The Administrative Assistant will provide essential administrative and operational support to project managers estimators and company leadership. This role requires someone who understands the pace and documentation requirements of commercial construction projects including managing project documentation coordinating with subcontractors and assisting with office operations.
The ideal candidate is highly organized detail-oriented and experienced working in a construction office environment.
Key Responsibilities
- Provide administrative support to project managers estimators and office leadership.
- Manage and organize construction project documentation including contracts submittals RFIs change orders and permits.
- Assist with project scheduling meeting coordination and document distribution.
- Prepare and maintain construction-related reports spreadsheets and correspondence.
- Support bid submissions proposal preparation and preconstruction documentation.
- Coordinate communication between subcontractors vendors suppliers and internal teams.
- Maintain organized digital and physical project files and records.
- Assist with invoice processing purchase orders and subcontractor documentation.
- Answer phones greet visitors and support daily office operations.
- Assist with compliance documentation insurance certificates and contract administration.
Required Qualifications
- 3 years of Administrative Assistant experience within a commercial construction company.
- Strong understanding of construction project documentation and terminology.
- Proficiency with Microsoft Office (Excel Word Outlook).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced construction environment.
Preferred Qualifications
- Experience supporting construction project managers or estimators.
- Familiarity with construction management or project management software.
- Experience handling construction contracts submittals RFIs and change orders.
- Experience coordinating with subcontractors and vendors.
