We are now looking to recruit an Office & People Support Coordinator to sit within our Bauer Media Technic team based in Bolton Lancashire.
Bauer Media Outdoor Technic are a world leader in outdoor digital signage solutions and delivering digital intelligence. A total service is provided across the UK and Europe from hardware development and manufacturing to customer back-end services.
About the role
This role sits within the HR & People function the purpose is to ensure the smooth running of the daily office operations including facilities health and safety administration event / training planning and staff celebrations & recognition whilst also being a contact for people related matters and handling HR and training documentation and administration.
This role is a central focal point for administrative efficiency reception / visitor management responsibilities and ensuring a bridge between administration and HR/People requirements as well as supporting a positive company culture
HR / People Support
- Point of contact for HR queries upkeep of office HR and training related documents both electronically and manually filing and ensuring compliance to meet our audit standards
- Assistance in new starter onboarding benefits schemes administration probation and performance development reviews and upkeep of the HR related systems and support along with KPI data reporting.
- Arrangement of staff recognition and milestone celebrations
- Opportunity to assist in people-related projects and objective deliverables over time.
- Adhering to stated policies and procedures relating to quality management health & safety and environmental.
Office & Facilities
- Responsibilities including visitor management first point of contact hospitality management and related security responsibilities including management of card passes via the Net2 system.
- Office provisions upkeep including fruit ad-hoc staff lunches or snack provisions
- Ensure the general upkeep of the office and communal areas including noticeboards and kitchen facilities.
- Booking office repairs according to contracts maintenance site cleans along with arrangement of new desk area layout and equipment for new staff (supporting the onboarding process)
- Assistance with time and attendance card data entry supporting the monthly payroll recording.
H&S Administration
- Coordinating meetings with the H&S contact administrative support with policy updates and circulation and coordination of the scheduled H&S meetings.
- Arrangement of training and assistance with the online H&S training tool
- Assistance with the collation of monthly KPI data in the areas of H&S and / Environmental
Event Planning
- Organisation of internal and external company events staff parties lunches internal and external events meetings and webinars.
- Booking venues organising catering and entertainment with the support of the chosen contacts in addition to the onward coordination and communication to staff.
What were looking for
- Experience in a similar co-ordinator role with administration reception and event planning responsibilities ideally gained in a Manufacturing environment
- Experience associated with business support responsibilities
- Proficiency in Microsoft Office packages is essential
- Strong organisation verbal and written communication skills
- Attention to detail and high level of accuracy whilst working at pace
- Ability to multi-task prioritise and manage deadlines
- Conscientious and proactive approach to planning out given tasks
- A high level of appreciation of the role of HR respecting confidentiality at all times
- An interest in working towards CIPD qualification (Level 3) to support personal and professional development is desirable but not essential
