**Key Responsibilities**
**Contract Administration**
Administer all contractual obligations in strict accordance with agreed terms and Task Orders. Draft and issue formal contractual correspondence to the Engineer with appropriate authority and documentation. Maintain comprehensive contract registers encompassing all correspondence variations and approvals. Monitor strict compliance with contractual obligations and enforce adherence to prescribed response timelines.
**Time & Material Governance**
Exercise rigorous control over manpower deployment against approved headcount and ceiling value parameters. Monitor expenditure burn rate and provide accurate forecasting of budget exhaustion. Issue formal early warning notices upon approach to budget thresholds to prevent commercial exposure. Ensure that no deployment exceeds approved commercial limits without explicit written instruction from authorised personnel.
**Variation Order Management**
Identify and document all scope changes and triggers requiring Variation Order submission. Prepare and submit comprehensive variation proposals with detailed cost breakdowns and supporting justification. Track Variation Order status from initial submission through to final approval. Enforce strict protocols to ensure additional services are not executed without formal approval documentation.
**Commercial & Financial Control**
Support the preparation of monthly invoices with verified timesheets and comprehensive supporting documentation. Verify all signed attendance records and approved rate sheets for accuracy and compliance. Track certified values against approved amounts to ensure billing integrity. Coordinate closely with the Finance function to ensure accurate billing cost recovery and financial reporting.
**Engineer / PMC Interface**
Issue formal notices regarding budget exhaustion scope changes or emerging commercial risks. Maintain structured professional correspondence that protects the companys contractual position. Ensure all communications are documented and filed in accordance with contract requirements.
**Reporting**
Maintain accurate deployment dashboards and cost tracking reports. Provide monthly commercial status updates including detailed forecasts and exposure analysis. Highlight critical risks relating to ceiling value Letters of Authorisation and pending approvals.
**Core Competency Requirement**
Demonstrate advanced expertise in contract administration specifically in Time & Materials deployment control Variation Order management and formal contractual correspondence.
Qualifications :
**Required Skills and Experience:**
- Proficiency with Microsoft Office Suite (Word Excel PowerPoint)
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- Demonstrated ability to manage multiple tasks and priorities simultaneously
- Attention to detail and accuracy in documentation and data entry
- Basic understanding of project management principles and methodologies
- Experience with contract administration or project support
- Analytical skills with the ability to interpret data and identify trends
- Professional demeanor and ability to work effectively in a team environment
- Interpersonal skills and ability to collaborate with diverse stakeholders
**Preferred Skills and Experience:**
- Experience with project management software (MS Project Asana or similar tools)
- Previous experience in a project coordinator or assistant project manager role
- Familiarity with budget tracking and financial reporting
- Knowledge of contract management best practices
- Experience in a matrix or fast-paced organizational environment
- Problem-solving abilities and proactive approach to identifying solutions
- Experience working in the Middle East or with international teams
