Job Summary

Trans Mountain Corporation operates Canadas only pipeline system transporting oil products to the West Coast. We deliver approximately 890000 barrels of petroleum products each day through a dual pipeline system of more than 1150 kilometres of pipeline in Alberta British Columbia and Washington state.

Trans Mountain also operates a state-of-the-art loading facility Westridge Marine Terminal with three berths providing tidewater access to global markets.

As a federal Crown corporation Trans Mountain continues to build on more than 70 years of experience delivering operational and safety excellence through our crude oil pipeline system.

With our expanded pipeline system now in place Trans Mountain provides enhanced direct access for Canadian crude oil to world markets. The expansion realizes a world-class system for oil transport developed to Canadas high standards within one of the most stringent regulatory regimes in the world creating long-term economic benefits enhanced marine protection enhanced safety and emergency management capabilities and enhanced skilled-worker capacity building in communities and Indigenous groups.

Trans Mountain is seeking a collaborative motivated and values driven individual to join our dynamic team as an Executive this position you will provide high-level administrative and communications support to the Public Affairs team. The role operates in a fast-paced dynamic environment where being proactive discretion agility and professionalism are key to success.

Key Responsibilities

  • Respond to activities issues and initiatives that often require creative problem-solving.
  • Manage a high volume of inbound and outbound communications coordinates meetings and schedules and supports strategic planning and logistics.
  • Manage calendar meetings travel arrangements expense reports and follow-up on outstanding items.
  • Oversee and track departmental budgets.
  • Work with finance rep on Quarterly forecasting.
  • Serve as the first point of contact for the Public Affairs department engaging with internal stakeholders Trans Mountain Executives media government representatives and the general public.
  • Support the purchase and supply of promotional items and oversee the Trans Mountain merchandise store.
  • Maintain the Public Affairs Leadership SharePoint site ensuring timely posting and organization of documents.
  • Assist the VP in planning Leadership Strategic Planning sessions including agenda development note-taking and document management via SharePoint.
  • Support special projects ad hoc research and requests.

Qualifications and Professional Experience

  • Completion of a high school diploma is required; postsecondary coursework in business administration communications or a related field is considered an asset.
  • 10 years of experience as an Executive Assistant or administrative support role preferably within Communications or Public Affairs in a corporate environment.
  • Experience in Oil & Gas industry is an asset.
  • Advanced proficiency in Microsoft Office Suite including Visio D365 PowerPoint and SharePoint.
  • Experience using financial applications such as Cognos and Smart Office.
  • Desktop publishing skills are an asset.
  • Event planning and media experience are an asset.
  • Committed to the highest level of integrity and confidentiality.
  • Flexible and ability to adjust as needed to competing demands.
  • Strong interpersonal skills and the ability to build relationships at different levels within the organization and a necessity in helping to resolve conflicts and issues.
  • Ability to demonstrate tact diplomacy and professionalism and exercise discretion.
  • Strong communication skills both verbal and written strategic thinker and problem solver.
  • Ability to plan and coordinate conferences/events.
  • Ability to work independently and yet be a dedicated and committed team player.
  • Detail-orientated and superior time management and organizational skills.
  • Ability to execute work efficiently and effectively.
  • Comfortable and confident working in a fast-paced office environment.
