The Carter Center is a 501(c)(3) not-for-profit nongovernmental organization founded in 1982 in Atlanta GA by former U.S. President Jimmy Carter and his wife Rosalynn in partnership with Emory University. SUMMARY:
The temporary Administrative Assistant provides daily office support in the stewardship and cultivation of donors and prospects. They will support the Development Services team in the Development department by assisting with data entry postal mail preparation and donor research. They will use the donor database systems and donor research applications to ensure that donor and gift information is accurate and up to date. The role also performs routine office duties including maintaining office supplies inventory.
The temporary Administrative Assistant will report to the Senior Associate Director Development Services. The need is for about 3-months with typical work hours being from 8am 5pm with a one-hour meal period.
KEY RESPONSIBILITIES:
- Responsible for supporting excellent donor relations by maintaining accuracy in donor records and supporting short lead times for gift acknowledgment.
Research and/or update returned mail and donor reply devices.
Assist with Development Services projects by supporting staff members with associated administrative tasks such as organizing and cleaning up filing systems.
Open and sort postal mail.
Perform routine database updates to meet deadlines for suppressions.
Assist with donor calls and voicemails.
Manage Donor Services email inbox.
May prepare and proofread donor correspondence (thank-you letters books cards) and coordinate mailings.
May enter and maintain accurate data in the database; generate reports; coordinate with Donor Services to ensure data integrity; and research or remove inactive or undeliverable records.
May provide administrative support including gift batching and data entry during high-volume periods; scheduling meetings and managing logistics; processing records and invoices; and overseeing stationery and office supply inventory and orders.
Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
- Bachelors degree OR the combination of a high school diploma (or equivalency) and five years of administrative support or secretarial experience.
- Proficiency with Microsoft Office including PowerPoint Outlook and Excel.
- Experience with collaboration tools (OneDrive Zoom Teams and/or others).
PREFERRED QUALIFICATIONS:
- Previous experience in a nonprofit and/or fundraising office is a plus. Ability to work in fast-paced high-profile environment.
- Excellent interpersonal skills and ability to interact with a diverse group of people.
- Strong collaborative problem solving and analytical skills with a positive attitude and the ability to work in a team setting.
- Detail oriented organized and able to work under tight deadlines.
- Strong computer skills including Microsoft Word Excel (including mail merge) and Adobe Acrobat.
- Familiarity with Raisers Edge software or similar donor databases is a plus but not necessary.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. Allnon-exempt employees must reside within the state of Georgia.
