OFFICE MANAGER
POSITION SUMMARY
We are seeking a highly organized and proactive Office Manager to oversee the daily administrative and financial operations of our construction office. This role serves as the operational backbone of the company ensuring accurate billing strong cash flow management compliance documentation smooth scheduling and clear communication between sales production vendors and customers. The Office Manager plays a direct role in protecting profitability by maintaining accurate job costing timely collections and complete construction documentation. We are looking for someone detail-oriented process-driven and positive who takes ownership of systems and thrives in a fast-paced roofing environment.

OBJECTIVES
- Answer incoming calls manage lead follow-up and schedule estimator appointments
- Maintain Accounts Receivable under 30 days and achieve a 98% collection rate
- Ensure timely invoicing accurate billing and consistent cash flow
- Enter all job costs within 48 hours of completion to protect profitability
- Support month-end financial close and maintain accurate financial records
- Maintain 100% compliance on contracts lien waivers permits insurance bonding and required documentation
- Process work orders from sale to crew assignment and maintain CRM accuracy
- Manage vendor and subcontractor documentation and coordinate material ordering
- Oversee warranties and quarterly rebate submissions
- Coordinate payroll processing and support financial administration tasks
- Maintain organized office systems and streamline administrative workflows
COMPETENCIES
- Strong financial and systems acumen (AR/AP awareness job costing accuracy)
- Proficiency in QuickBooks Excel Word and CRM platforms
- Detailed orientation in construction administration (permits lien waivers COIs)
- Ability to follow processes exactly and maintain documentation discipline
- Clear professional and friendly communication style
- High level of discretion with financial and customer information
- Initiative and ownership of office operations
- Calm under pressure with strong multitasking ability
- Positive team-oriented mindset
EDUCATION & EXPERIENCE
- 3 years experience in office management (construction preferred)
- Strong organization communication and multitasking ability
- Experience handling AR/AP and payroll coordination
- Comfortable managing compliance documentation and financial data
- High school diploma required
COMPENSATION & BENEFITS
- Salary: $50000 $55000 salary
- 40 PTO hours per year
