SUMMARY OVERVIEW
The Office Administrator is responsible for supporting the day-to-day administrative operations of the organization and helping ensure the office runs smoothly and efficiently. This position is ideal for someone who thrives in a dynamic environment enjoys being the go-to resource for teams and takes pride in creating a positive and organized workplace experience for employees and visitors. The Office Administrator will coordinate daily office activities support multiple departments and maintain effective communication across the organization. Responsibilities include managing schedules organizing meetings maintaining office systems and records and assisting with special projects as needed. Additionally this role plays an important part in fostering collaboration supporting operational needs and contributing to the overall success of the organization.
RESPONSIBILITIES
- Provide administrative support to senior leadership as needed
- Oversee day-to-day office operations to ensure a smooth and efficient work environment
- Support office staff by coordinating activities and enhancing workflow
- Manage incoming calls emails mail and other forms of correspondence
- Oversee special projects track progress and ensure successful execution.
- Organize and maintain filing systems and ensure accurate documentation
- Schedule and coordinate meetings appointments and the office calendar
- Arrange travel accommodation and itineraries for team members
- Monitor and maintain office supply levels; place orders as needed
- Ensure a safe clean and welcoming office environment in accordance with health and safety standards
- Assist with the preparation of recurring reports and administrative documents
- Welcome and support office visitors providing general assistance and customer service
- Partner with facility management vendors (e.g. cleaning catering security) to ensure high-quality service
- Support basic budgeting bookkeeping and invoice processing
- Collaborate with HR to help manage and communicate office policies
- Contribute to the planning and execution of company-wide events and conferences
- Maintain and improve office administrative procedures and systems
- Perform any additional duties as assigned by management
QUALIFICATIONS
- 18 years of age or older
- Eligible to work in the United States
- Ability to work in office onsite Monday-Friday
- Must have a valid state-issued drivers license with an acceptable driving record
- Communicate effectively in English (reading writing speaking)
- Bilingual in English/Spanish a plus
- At least 2 years of experience in office administration or a similar role
- Experience providing senior-level administrative support and managing complex agendas.
- Ability to work independently make autonomous decisions and maintain discretion.
- Proficiency in Microsoft Office Suite and experience with office management software
- Excellent organizational and multitasking skills
- Strong communication and interpersonal abilities
- Detail-oriented with a proactive approach to problem-solving
- Effectively communicate with colleagues and clients both in-person and through electronic means
- Pass a background check and drug screen
- Must be flexible to work extended hours on occasion to support our field operations
