Responsibilities
- Administers and processes Accounts Payable transactions and activities with vigilant attention to detail regarding general ledger and department coding.
- Ensures timely payments of vendor invoices and expense vouchers and maintains accurate records and control reports; obtains proper signature(s) when necessary.
- Processes Accounts Payable documents.
- Reconciles vendor statements and addresses discrepancies.
- Reconciles outstanding payable items.
- Processes accounts payable payments; ensures security of check stock.
- Assists department personnel with accounts payable information.
- Provides procedural updates on an ongoing basis.
- Develops and maintains vendor and internal relationships; interacts with internal and external customers in a friendly professional timely and attentive manner.
- Enters new vendors into software system(s) ensuring W-9 documents are complete.
- May assist with Form 1099 recordkeeping and filing preparation.
- May prepare and enter accruals.
- Photocopies documents collates assembles and distributes materials.
- Types or produces reports or correspondence.
- Receives reviews and compares documents and forms for accuracy and completeness.
- Gathers and records statistical information for reporting purposes.
- Ensures security and confidentiality of all records.
- Assists with special projects as assigned.
- Completes all work in a timely and satisfactory manner.
- Duties responsibilities requirements and expectations pertaining to this job are subject to change as needed.
- Work nights weekends and holidays as required.
- Performs other duties as assigned.
Qualifications
- Exceptional guest service skills required.
- Associates degree (A.A.) or equivalent from two-year College or technical school; or two to three years experience directly related to the responsibilities noted above and/or training; or equivalent combination of education and experience.
- One-year related experience and/or training; or equivalent combination of education and experience.
- Ability to work independently and perform assignments with moderate direction.
- Ability to prepare worksheets and reports on spreadsheets required.
- Ability to compare data from two or more sources for accuracy and completeness required.
- Excellent data entry and follow up skills required.
- Professional and neat appearance and positive and friendly attitude required.
- Working knowledge of general business administration and accounting practices required.
- Ability to read comprehend and apply written procedures required.
- Ability to follow oral and written instructions required.
- Working knowledge of filing and recordkeeping systems required.
- Must be customer service oriented and have excellent verbal and written communication skills with the ability to multi-task and work independently.
- Ability to work in a challenging environment dealing with sensitive issues and maintain confidentially with strong attention to detail and excellent problem solving organizational and time management skills.
- Ability to maintain professional courteous and effective working relationships with all levels of the organization and outside business contacts.
- Proven intermediate skills in Windows MS Office Programs (Word PowerPoint Excel) and experience with database systems. Ability to prepare reports correspondence charts forms and other information and instructions.
- Ability to apply and work with mathematical concepts such as fractions percentages commissions interest to practical solutions.
- Ability to work in a fast paced and multi-tasking environment desired.
- Exceptional organizational communication and guest service skills required.
- Skills in solving practical problems and dealing with situations where only limited standardization exists.
- Skills in identifying and resolving administrative problems under pressure conditions.
- Ability to interpret a variety of instructions furnished in written oral diagram or schedule form.
Certificates Licenses Regulations
- Must be able to obtain and maintain a Class A/3 gaming license from the Stillaguamish Tribal Gaming Agency and Washington State.
Physical Demands and Work Environment
Constantly requires the ability to receive detailed information through oral and written communication. The position requires exerting up to 50 pounds of force occasionally and/or up to 20 pounds of force frequently and/or up to 10 pounds of force constantly to move objects. Requires repetitive movement daily with sedentary work occasional bending and crouching. There are no adverse conditions but employee is exposed to tobacco smoke on a regular basis. This is a 24 hour 7 days a week work operation.
