Are you an experienced research administrator and strategic leader ready to make a meaningful impact in academic medicine The Department of Neurology at the University of Florida College of Medicine is seeking a Program Manager to provide research administration program oversight and operational support for the Brain Injury Rehabilitation and Neuroresilience (BRAIN) Center and the State of Floridafunded Memory Disorders Clinic (MDC). In this high-impact role you will drive strategic planning financial stewardship program development and compliance efforts while supporting interdisciplinary research education and community outreach initiatives.

As a key member of the Departments leadership team you will collaborate closely with the McKnight Brain Institute and institutional partners to advance innovative neuroscience initiatives. This position plays a critical role in supporting faculty-led research programs managing research and state-funded grant budgets and reporting ensuring regulatory compliance and translating complex data into clear actionable communications for diverse stakeholders. You will also provide administrative leadership and oversight for the MDC program ensuring alignment with statewide dementia initiatives and state grant requirements.

More About This Role

Strategic Administrative Outreach and Operational Functions (BRAIN Center & Memory Disorders Clinic)

  • Support research initiatives faculty-led programs and interdisciplinary teams by providing research administration project coordination planning support and compliance oversight.
  • Lead public health education and community outreach initiatives advancing awareness of brain injury dementia and neurological health.
  • Facilitate strategic meetings task forces advisory groups and interdisciplinary working groups to align program goals with Department of Neurology and institutional priorities.
  • Guide strategic planning performance tracking and outcome reporting across research clinical and public-facing programs.
  • Oversee financial operations for research programs and grants including budget development forecasting monitoring expenditures and ensuring compliant use of funds.
  • Manage reporting requirements for state- and federally funded grants ensuring accurate timely and compliant submission of programmatic and financial documentation.
  • Translate complex data metrics and outcomes into clear written visual and presentation materials for reports proposals and stakeholder communications.
  • Coordinate and support academic meetings conferences and community outreach events including logistics contracts vendor coordination and onsite execution.
  • This section captures shared responsibilities performed across all assigned programs.

BRAIN Center Essential Functions

  • Provide administrative and operational leadership for BRAIN Center initiatives strategic priorities and statewide advisory board activities.
  • Support Principal Investigators and program leaders with project planning milestone tracking deliverables invoicing and sponsor-aligned documentation.
  • Identify institutional resources funding opportunities and partnerships to advance BRAIN Center and faculty research goals.
  • Manage donor relations activities including proposal development stewardship reporting donor cultivation events and ensuring compliance with donor intent.
  • Prepare Center-specific financial and performance reports including internal summaries and required Board of Governors reporting.
  • Coordinate internal Center funding programs including proposal solicitation review processes award administration and fund stewardship.
  • Plan and manage BRAIN Center educational and research-focused events including workshops retreats symposia seminar series and CME-accredited programs.
  • Manage regulatory submissions and documentation related to Center research programs including IRB protocols human subjects approvals and data access compliance.
  • Develop Center-specific communication and engagement materials to support visibility stakeholder participation and interdisciplinary collaboration.

Memory Disorders Clinic (MDC) Essential Functions

  • Serve as the primary administrative liaison and official MDC representative to external stakeholders including state agencies community organizations and statewide dementia initiatives.
  • Coordinate and submit required reports for state- and federally funded MDC grants ensuring compliance with reporting timelines and documentation standards.
  • Support administrative oversight of MDC-related activities to ensure alignment with state and institutional priorities.
  • Co-chair the Mid-Florida Dementia Care & Cure Initiative (DCCI) Task Force including agenda development meeting facilitation and coordination of public education programs.
  • Coordinate dementia-focused education and outreach initiatives including dementia-friendly communication efforts.
  • Spearhead UF Healths sponsorship planning and team coordination for the local Walk to End Alzheimers including volunteer recruitment and community engagement.

Department of Neurology Administrative Support

  • Draft letters of support nomination letters and official correspondence on behalf of the Department Chair and senior leadership.
  • Provide administrative writing and coordination support for departmental initiatives and special projects.
  • Perform additional administrative operational or strategic tasks in support of Department of Neurology priorities.

Expected Salary:

$70000 - $80000; commensurate with education and experience

Minimum Requirements:
