SUMMARY: The Human Resources Associate provides professional and confidential administrative support to Human Resources. This incumbent act as a liaison between HR and employees ensuring smooth communication and prompt resolution of requests and questions.
PRIMARY RESPONSIBILITIES:
- Support all HR staff with administrative tasks
- Monitor and coordinate HR Inbox for general inquires resumes documentation etc. and forward to appropriate contact for follow up
- Retrieve date stamp and distribute incoming/outgoing mail courier requests
- Ensures the Human Resources SharePoint page is current and up-to-date
- Generates and sends form letters
- Updates and maintain HRMS for all areas of conditions of employment
- Maintains Work Break Orders and Averaging Permits (Employment Standards) for various programs
- Maintains confidential HR (Payroll) filing system
- Receive and review posting requests ensuring all required information is accurate. Upon approval post positions using the Applicant Tracking System. Distribute postings to external organizations.
- Create and maintain electronic competition folders
- Assists with collection of resumes compiling screening guides then forwarding competition files for screening
- Pre-screens potential candidates for interviews
- Requesting following up and processing Criminal Reference Check w/VS Child Abuse Registry Checks Adult Abuse Registry Check (if applicable) Prior Contact Checks (PCC) for all new employees and updates the HRMS
- Follow up on positive PCC checks with applicable agencies
- Provide clearance emails or status updates on new hires to Supervisors for ALL forms of required documentation
- Arrange new hire orientations for HR Consultants
- Prepare and assist with hire packages for new employees
- Tracks hire documents such as signed letters of offer benefit forms tax forms licenses education and training certificates
- Assists HR team in human resources workshops lunch & learns etc.
- Receives and updates tracker with reports from the Training Coordinator; including but not limited to First Aid/CPR NVCI Suicide Intervention Child and Adolescent Development Intro to Youth Care Practice; etc.
EXPERIENCE:
- Minimum 1-2 years administrative experience
- Experience working with databases
- Experience within the child welfare system is an asset
- Knowledge of Indigenous language and culture is an asset
- Excellent organizational and time management skills
- Intermediate computer proficiency: Windows MSOffice (Word Excel PowerPoint Outlook etc.)
- Excellent interpersonal organizational and communication skills
- Willingness to complete orientation and in-service training as per The Link policy
- Ability work independently and as part of a team
- Strives to create positive memorable client experiences
- Work collaboratively and cooperatively with all levels of HR Team
- Demonstrates effective listening techniques; ensures mutual understanding of current subject
- Sensitivity to confidential information

EDUCATION:
- Graduate of a recognized business/office skills program or equivalent
- Education in Human Resources is an asset
CONDITIONS OF EMPLOYMENT:
- Satisfactory Criminal Record Check with Vulnerable Sector Search a clear Child Abuse Registry check with acceptable Prior Contact checks and a clear Adult Abuse Registry check all done within the last 3 months
HOURS OF WORK: Full-time - 35 hours per week. Primary work hours will be during the daytime - Monday to Friday from 8:30 am to 4:30 pm with a one-hour unpaid lunch (please note this position is located on-site only). However the role may require occasional evening or weekend work based on the needs of the organization.
