The Surgery Scheduler coordinates surgeries for five surgeons including securing surgery dates and times coordinating operating room availability obtaining pre-authorizations preparing surgical packets and communicating clearly with all involved parties. This position plays a critical role in maximizing provider and facility efficiency while supporting patient comfort safety and understanding throughout the surgical process.

Minimum Required Qualifications
Education:
High school diploma or equivalent.
Licensure:
None
Experience:
Previous experience as a surgery scheduler preferred but not required.
Certification/Registration:
None
Other Skills and Knowledge:
Medical terminology. Computer skills. Telephone etiquette. Excellent oral and written communication skills.

Key Responsibilities

  • Schedule inpatient and outpatient surgical procedures in coordination with physicians hospitals and ambulatory surgery centers
  • Communicate surgery details with patients including dates arrival times pre-op instructions and required testing
  • Coordinate with joint surgeries with other departments and facility scheduling teams
  • Prepare and distribute surgical packets and documentation
  • Verify patient information physician orders and required authorizations or referrals
  • Schedule post op appointments
  • Maintain accurate records in the electronic medical record and reconcile post-procedure documentation
  • Identify and resolve scheduling conflicts or changes in a timely manner
  • Collaborate with clinical and administrative staff to improve scheduling workflows and efficiency
  • Ensure compliance with office policies HIPAA regulations and payer requirements
