Summary
The job holder will be tasked to provide high level administrative and confidential support to Airbus Chief Representative Thailand & MD AFOS Ltd.
The job holder will be someone who is highly organized possesses extreme attention to detail and is able to think on their feet.
To ensure his responsibilities and accountabilities across the region with customers suppliers and staff are fulfilled successfully.
Good analysisand beingswiftness to changes of meeting plans and provide conducivesolution and feedback to Airbus Chief Representative
Building a good relationship with colleagues fromCentral Entity / regionaland locallyto ensure the managers agenda and travel plansare well aligned when arranging internal/external meetings.
To help enforce proper and agreed governance in the management organization in country across APAC including ACR/MD travel budget management and administrative coordination.
Responsibilities
Draft documents briefing papers reports and presentations according to ad-hoc demands
To provide secretarial clerical and administrative services and support in an effective efficient and professional manner
Managing of ACR/MDs mailbox
Handling/screening of phone calls calendar management for business meetings and appointments across different time zones
Manage visa application travel itineraries & hotel reservations across different time zones with appropriate follow ups.
Oversee and facilitate complex travel itinerary and agenda
Handle sensitive and confidential information with utmost discretion and maintain a high level of professionalism at all times.
Organize coordinate and support meetings conference calls logistics and corporate events
Taking concise minutes of meetings for proper dissemination
Assist to welcome visitors in a professional manner creating a positive impression
To provide all documents and reports on time and maintain a proper filing system
To keep smooth and complete internal and external information exchange
Coordinate office activities and operations
To establish a good communication channel with relevant stakeholder
Delegation to check business travel requests by ACR/MDs N-1 ensuring adherence to Airbus Travel Policy.
Manage and support ACR/MD on liaising with corporate car leasing companies negotiate with leasing companies on contract quarterly servicing and emergency cases.
Attending Weekly and Monthly Operational Meeting as required.
Support the ACR/MD and management in taking Meeting of Minutes and Actions Items
Prepare and manage Power of Attorney and Directors Resolutions Consolidation of POAs and required documents for notary and embassies authentication including reports andpresentation according to ad-hoc demands
Organize documents for signatures and ensure document completion in a timely manner
Support the administrative preparation of the ACR/MD for the various Board of Director meetings he is appointed to.
Focal point for all AFOS/Airbus Thailand related events coordination and organization.
Participation in short-term projects and initiatives of other Business Line as required to support the division
Support On/Offboarding of ACR/MDs N-1s
Stay well informed and familiar with the latest development and changes in the industry
Share information on Travel Policy day to day claims process
Comply with Airbus Code of Conduct and demonstrate behaviors in line with Airbus Values Contribute to a positive and inspiring work environment
Academic/Educational and other Requirements
Bachelors Degree in Business Administration Management or a related field
Proficient in Thai and English (verbal and writing)
