The Programs Agent provides operational and administrative support for the International Youth Internship Program (IYIP) assisting with financial processes documentation and program coordination. The role works closely with program leadership and the finance team to support compliance with funder requirements and ensure accurate record-keeping. By contributing to smooth program operations the position helps facilitate international internships in countries such as Colombia Peru Togo and Sierra Leone. The Agents work supports youth participants in gaining meaningful global experiences while maintaining program standards and efficiency.

In this role you will:

  • Create budgets and perform monthly follow-up on actual expenses to produce reports for both local partners and the Toronto IYIP office.
  • Work closely with finance in preparing audit documentation and funders financial monitors.
  • Prepare response documentation for any financial reporting requests by Global Affairs Canada (GAC).
  • Ensure international partners interns and the Toronto IYIP program comply with funders financial guidelines policies and procedures.
  • Verify accuracy and completeness of all supporting documentation and backup information.
  • Review claims and reports to confirm alignment with financial system records meet program claim/report deadlines and perform follow-up as needed.
  • Keep daily expenses tracking system accurately updated.
  • Perform tasks related to IYIP operations including forecasting reconciliation invoice coding internal processing and payment follow-up allowances calculation and processing new vendor requests and quotes collection and analysis.
  • Perform other duties as assigned.

What you need to succeed:

  • Commitment to the YMCAs Mission Vision and Values.
  • Focus on the health safety and wellbeing of all children youth and vulnerable people in YMCA programs including understanding legal and moral obligations related to reporting suspected child abuse to Child Protection Services.

You bring:

  • Post-secondary education in a related field or an equivalent combination of education and experience.
  • 12 years of experience in bookkeeping expense coding reporting budgeting account reconciliation and financial data entry.
  • Experience working within organizations receiving government funding is an asset.
  • Strong knowledge and understanding of accounting principles.
  • Comfort working with exchange-rate conversions.
  • Strong computer literacy including proficiency with Microsoft Office.
  • Familiarity with computerized accounting systems.
  • Professional fluency in Spanish is required.
  • Highly organized detail-oriented and equipped with strong analytical skills.
  • Excellent written and verbal communication skills along with problem-solving and time-management abilities.
