JOB DESCRIPTION


The person in this position will be expected to manage and maintain student records transcripts test results and other pertinent student information print progress and report cards submit required state/federal reports assist with maintaining records for college applications assist with withdrawal and registration of students input grades into the computer type correspondence and perform other job-related duties as assigned.

CONDITIONS OF EMPLOYMENT

  1. High school graduate or equivalent.
  2. Must present transcripts of highest level of education within thirty (30) days of hire.
  3. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  4. Must be able to meet the Physical Demands of the position.
  5. Must pass a basic skills test.
  6. Must complete Safe Schools web-based safety program within thirty (30) days of employment and yearly thereafter.
  7. Must pass a Background Check which includes employee paid fingerprinting.

QUALIFICATIONS REQUIRED

  1. Experience and/or training with Microsoft Word Excel and desk top publishing with the ability to use their functions.
  2. Evidence of excellent spelling punctuation and grammar language and communication skills. A skills test may be given.
  3. Ability to greet students staff and parents in a positive professional manner while maintaining a balanced office routine.
  4. Demonstrated professional telephone skills and management of multiple line systems.
  5. Demonstrated ability to independently learn new operations procedures and processes.
  6. Evidence of ability to successfully work under pressure with regular interruptions.
  7. Positive evaluations and recommendations that support character and work ethic.
  8. Excellent attendance punctuality and dependability; evidence of ability to be self-disciplined and a self-starter.

QUALIFICATIONS PREFERRED

  1. Bilingual English/Spanish.
  2. AA (associate degree) and/or college experience or comparable successful work experience in an office setting.
  3. Experience with PowerSchool or other student management software.
  4. Previous experience working within a confidential environment.

JOB RESPONSIBILITIES

  1. Manage and maintain student records transcripts test results and other pertinent student information maintaining confidentiality of student records and information as appropriate.
  2. Print progress and report cards.
  3. Assist when needed with registration and withdrawal of students especially at the beginning of the school year; process information and forms; make student information checks by phone and/or written requests; answer questions; provide material to students and parents.
  4. Input grades and information from internal and external sources into student course histories.
  5. Submit state/federal reports in a timely manner.
  6. Assume primary responsibility for getting new students enrolled into the NWEA MAP TestTaker system having students take the MAP Reading and Math Survey tests and providingstaff with test results when needed.
  7. Assist the Registrar in the preparation of correspondence forms reports data entry ordering office supplies routing mail answering telephones scheduling appointments and performing other clerical duties as appropriate.
  8. Assist school administration and counselors in the implementation of KSD Policy 2410 (High School Graduation Requirements) and pertinent regulations.
  9. Prepare and maintain graduation lists and graduation status reports.
  10. Assist with process graduation credit waiver forms procedures when needed.
  11. Assist with process mail and maintain records for college applications when needed.
  12. Assume the duties and responsibilities of the Registrar during time periods determined by the Supervising Administrator.
  13. Assist as appropriate to support the school administration and counselors in the operation of the school and department.
  14. Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
  15. Perform other related duties and responsibilities as assigned/requested by the supervisor.

Sense:The employee is required to talk/hear conversations and other sounds. The employee must be able to communicate effectively in person and over the telephone. The employee is required to taste and smell. Specific vision abilities required by this job include close vision far vision color vision peripheral vision depth perception and the ability to adjust focus.

Lifting:The employee must be able to lift or move up to 18-26 pounds; must also be able to lift overhead. The employee may be required to physically move quickly in an emergency or while performing student supervision duties.
