Immel is seeking a detail-driven Project Coordinator who excels in fast-paced environments and takes pride in keeping projects organized on track and moving forward. The ideal candidate is a strong multitasker with exceptional organizational skills and a sharp eye for detailsomeone who ensures nothing slips through the cracks.
Project Coordinators play a key support role in the successful execution of construction projects from preconstruction through this position you will closely partner with Project Managers Superintendents subcontractors and clients to ensure project documentation communication and processes run efficiently and accurately.
What Youll Do
Project Administration
- Support Project Managers with daily administrative and coordination tasks.
- Maintain and organize project files tracking of submittals and recordkeeping on shop drawing logs.
- Prepare and distribute meeting agendas and minutes.
- Track subcontractors certificates of insurance.
- Assemble contract exhibits to attach to subcontracts.
- Generate and issue change orders.
- Ensure current plans & specs are uploaded in Wrike.
- Perform quality checks for submittals by comparing specifications to content of submittals.
- Perform plan management responsibilities and distribution on plans change orders and revisions. Updates document control logs.
Communication & Coordination
- Serve as point of contact for subcontractors suppliers and clients.
- Coordinate internal communication between field and office teams.
- Support scheduling efforts and distribute project schedules.
- Ensure timely follow-up on outstanding documentation.
- Provide support and assistant to Superintendent.
- Configure Procore to set up new projects.
Project Closeout
- Oversee completion of closeout lists and documents including checklists specific to client expectations (e.g. retail remodels) and new store projects.
- Compile closeout documents including warranties O&M manuals and as-builts.
- Assist with final billing and documentation requirements.
- Ensure project records are completely and properly archived.
- Performs all other duties as assigned.
What Were Looking For
Education & Experience
- High school diploma is required.
- 2 years of construction or project administrative experience preferred.
- Experience with construction management software is preferred; specifically with Procore is highly desired.
Knowledge Skills & Abilities
- Proficiency in Microsoft Office (Outlook Word and Excel) required.
- Demonstrated ability to serve internal and external customers in a professional and positive manner.
- Ability to understand and navigate construction plans and documents.
- Strong organization prioritization and time-management abilities.
