Position Overview:
Under the direction of the Health Prevention and Coordinated Care (HPCC) Division Director the HPCC Executive Assistant will provide administrative support for the HPCC Director and Associate Director. The HPCC Executive Assistant will be responsible for handling all the office-related affairs to ensure smooth and efficient operations and continuous quality improvement.
Duties & Responsibilities:
- Provides comprehensive administrative support to the Division Director including calendar management scheduling and serving as the primary point of contact for internal and external stakeholders.
- Coordinates travel and expense processing including arranging travel maintaining itineraries preparing travel documents and processing expense reports and P-Card transactions in coordination with Finance.
- Manages correspondence and records assisting with the preparation review filing and maintenance of paper and electronic documents such as Commissioner Court requests on behalf of the Director.
- Plans coordinates and supports meetings appearances presentations including preparing agendas and materials managing logistics attending meetings as needed and taking meeting minutes.
- Oversees office operations and support functions including ordering supplies maintaining inventory records and ensuring an organized office environment to support staff morale and operational efficiency.
- Other duties as assigned.
Requirements
Education:
- High school diploma or equivalent
Experience:
- At least seven (7) years of experience in administrative support role
Knowledge Skills and Abilities:
- Advanced knowledge in MS Office Suite (Word Excel PowerPoint & Outlook)
- Excellent communication skills (verbal and written)
- Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment
- Ability to maintain confidentiality when dealing with sensitive information
- Ability to work well with teammates
- Excellent customer service skills
