Boeing Defense Space and Security (BDS) is currently seeking an Executive Office Administrator (level C) to join our team in Oklahoma City OK supporting multiple executives on site.

The ideal candidate will possess a unique blend of business sense and the ability to build rapport with key partners and executives. Additionally you should be able to thrive in a fast-paced evolving agile organization and be a positive leader to others.

Position Responsibilities:

  • Heavy calendar management for multiple executives with competing priorities.
  • Prioritizes and schedules management-level employee time and availability for efficient use of time.
  • Performs the following tasks for managers on the executive payroll: Coordinates and processes domestic and international business travel arrangements monitors designated business travelers logistics generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
  • Collects and compiles data to provide visibility of status for travelers review and/or signature.
  • Creates edits and maintains electronic and written communication.
  • Tracks and maintains information relative to department and business operations.
  • Verbally communicates a wide variety of information to multiple audiences.
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.
  • Orders and maintains office supplies.
  • Plans and implements logistics for executive level internal and external events.
  • Works under limited supervision.

This position is 100% onsite.

The position must meet Export Control compliance requirements therefore a US Person as defined by 22 C.F.R. 120.15 is Person includes US Citizen lawful permanent resident refugee or asylee.

BasicQualifications (Required Skills/Experience):

  • 1 years of experience coordinating and processing domestic and/or international travel arrangements
  • 3 years of experience providing administrative support to multiple customers such as executives and managers
  • 5 years of experience with Microsoft Word Teams Excel Outlook and PowerPoint
  • 3 years of experience supporting senior / executive leaders managing multiple executive schedules calendars and/or conference rooms using Microsoft Outlook
  • High School Diploma or General Education Diploma (GED)

Preferred Qualifications (Desired Skills/Experience):

  • 5 years of experience in partnering with executives to develop and manage the operating rhythm/cadence for executive leadership teams
  • 3 years of experience collecting interpreting data and managing high level projects for Executives or Senior Leadership
  • Recent experience using Concur for travel arrangements and expense reports
  • Experience managing and organizing multiple deliverables and deadlines with minimal direction
  • A team player able to work in collaborative environment

Relocation

This position does not offer relocation. Candidates must live in the immediate area or relocate at their own expense.
